Facilities: Financial Specialist

POSITIONA full-time university staff position is available in Facilities beginning April 2024. The official title for this assignment is Financial Specialist II.  This is an expected-to-continue assignment which requires a six-month probationary period. The expected hourly hiring salary will be based on qualifications and experience.


  • Minimum of a high school diploma. 
  • Demonstrated knowledge of GAAP, internal control theory, accounts payable, and cost accounting practices including invoicing, auditing procedures, work order chargeback, and surcharge procedures.
  • Demonstrated knowledge and skill in oral and written communication, a high level of dedication to quality service, and attention to detail with accuracy. 
  • Working knowledge of Microsoft Office Suite, database and/or work order systems. 
  • Demonstrated ability to:
    • multi-task
    • develop and write procedures
    • utilize critical thinking to problem solve
    • establish and maintain effective working relationships with other employees, officials, faculty, staff and the public
    • maintain confidentiality while working with sensitive information


  • Minimum of an associate degree from an accredited institution
  • Familiarity with TMA software (high-end work order workflow system and database), Perceptive Content software system, or WISDM accounting system.
  • Knowledge of:
    • information system practices
    • records management practices
    • work order system policies and procedures
    • internal auditing principles and practices
  • Previous supervisory experience

Job Summary

The Financial Specialist II independently provides fiscal and business operation support and is responsible for invoice matching in our computerized maintenance management system to verify correct job cost accounting, processing invoices for payment by accounts payable, maintaining strong relationships with the upstream processes of procurement and receiving for an efficient workflow, communicating with vendors and facilities technicians, and assisting with customer service for the facilities main office. This position adheres to the rules and regulations of prompt payment legislation and directly impacts payments for purchases of more than $2 million through campus funding in addition to coordination of invoice payments for Division of Facilities Development delegated projects. As part of the Facilities team, this position reports directly to the Business Manager.

Core Job Accountabilities

  • Manage the cost accounting processes including chargeback, surcharge, accounts payable, purchasing, creating financial reports, and reconciling of all Facilities credit card statements in compliance with policies and regulations.
  • Manage the accounts payable processes including reconciling all materials to the work order system, processing invoices for payment, reviewing documentation to conduct an audit of accounts payable, communicating price changes, and managing the documentation for credit cards usage for Facilities staff.
  • Supervise the training, work delegation, and performance of student employees.
  • Recommend policy changes or efficiency of process to assure compliance with policies and procedures. 
  • Other duties as assigned.
