Student Support Services: Administrative Assistant II

POSITION: A part-time (60%) university staff position is available in Student Support Services beginning in April 2024. The official title of this position is Administrative Assistant II. This position is contingent on grant funding and requires a six-month probationary period. The expected hourly hiring salary for this position is $17.50. 

MINIMUM QUALIFICATIONS 

  • Experience providing administrative support in an office setting
  • Demonstrated computer experience with proficiency in word processing, spreadsheet, and database software 

PREFERRED QUALIFICATIONS:  

  • Excellent writing, oral communication, and interpersonal skills, with ability to maintain a welcoming and supportive student services environment 
  • Knowledge of university policies and procedures regarding purchasing, payroll, travel arrangements, financial transactions, etc. 
  • Experience using StudentAcccess, or willingness and ability to learn 
  • Experience working with first generation, low-income, and students with disabilities 
  • Ability to prioritize tasks and manage multiple projects simultaneously 
  • Ability to work with sensitive information and maintain confidentiality 
  • Demonstrated commitment to support and enhance the diversity and cultural and global awareness of students, faculty, and staff

DUTIES 

  • Provide general administrative support for the Student Support Services office. 
  • Welcome visitors to the SSS office and respond to questions and requests for information. 
  • Schedule staff appointments and maintain calendars. 
  • Make arrangements for program activities and events, such as reserving rooms and ordering refreshments. 
  • Perform data entry functions using StudentAccess and maintain student files. 
  • Provide budgetary support by preparing purchase orders, requisitions, and transfers of funds. 
  • Train student employees to assist with office functions; assign and monitor work tasks for student employees. 
  • Perform other duties, as assigned, to assist in the effective operation of the SSS office. 

THE UNIT: The TRIO Student Support Services program receives funding from the U.S. Department of Education to promote the retention and graduation rates of 300 eligible students who are from low income households, are first-generation college students, or have disabilities. The Administrative Assistant II contributes to this objective by providing general administrative support for the program's director and other staff.
