Job Duties:

The Registrar Operations Specialist plays a key role in managing various software and information system projects, while also helping coordinate important enrollment and student record tasks that keep our systems accurate and reliable. A big part of this role includes maintaining and publishing the academic catalog.

This person works with complex student data, record retention tools, and third-party software, and teams up with other staff to handle things like transcript updates and registration processes.

There may also be other specialized tasks assigned as needed. Above all, the Registrar Operations Specialist is committed to providing excellent customer service, following Blugold Central's service standards, and recognizing how accurate student records support the university’s efforts to recruit and retain students. This position also involves cross-training in other areas of the Registrar’s Unit in Blugold Central. This position reports to the Associate Registrar.

Core Job Accountabilities
• Provide technical and functional support for system implementations and upgrades, including testing, integration, and troubleshooting.
• Serve as a key resource for enrollment and student records processes.
• Maintain and enhance electronic records systems and record retention practices to ensure compliance and accuracy.
• Conduct audits and analyze data to ensure integrity of academic records, applying necessary controls and corrections.
• Research and resolve complex student record issues.
• Ensure institutional compliance and data security, particularly when working with third-party vendors.
• Interpret and enforce academic policies, making informed decisions on record-related requests.
• Continuously evaluate and improve business processes to increase efficiency and effectiveness.
• Provide training and support for faculty, staff, and advisors on Registrar systems and tools.
• Support student record management through accurate data entry and maintenance.
• May assist with certifying student-athlete eligibility in accordance with NCAA regulations.
• High level of dedication to quality service
• Works with front line, faculty, and staff to provide background on issues
• May respond directly to students or other external customers
• Interacts with internal and external customers, including faculty, staff, advisors, and student workers
• Protects confidentiality related to financial, academic, and/or personal issues

Department: Blugold Central

Compensation: $55,000-$58,000 depending on experience

Required Qualifications:

• Uses critical thinking to process communication, perspectives, policies and/or procedures and solve problems
• Knows and understands the importance of professional ethics and legal responsibilities.
• Accountable for actions and results
• Brings energy and a positive approach to work 
• Is technically literate and able to fully utilize technology
• Analyzes and processes large amounts of information, sees inter-relationships and acts on them to continuously improve outcomes and how work gets done
• Integrated technological system management (process flow, data management, access, problem solving, record retention)

Preferred Qualifications:

• Bachelor’s degree
• Thorough knowledge of academic structure and programs, academic requirements, policies and procedures
• Knowledge of FERPA procedures
• Familiarity with academic and student records management
