Dean of Students: Case Manager

Job Duties:
The Case Manager, reporting to the Assistant Dean of Students plays a key role in supporting student success by providing proactive, student-centered case management. This position assists students navigating personal, academic, health-related, financial, and/or family-related challenges.
Working closely with the Dean of Students team and campus partners, the Case Manager triages student concerns, manages an assigned caseload, and provides timely outreach, intervention, and support. The Case Manager assists students in understanding and navigating university policies, accessing resources, and making informed decisions to support their academic persistence and personal well-being.
This position is part of a collaborative campus support network, including Academic Advising, Counseling Services, Services for Students with Disabilities, Residential Living, Student Health Services, the Center for the Awareness of Sexual Assault (CASA), Fostering Success, and other university and community resources. The Case Manager also provides support to the Students of Concern Team, participating in case review, documentation, and coordinated care efforts.
This is a renewable position, contingent on performance and continued funding.
SUPERVISION
Reports to: Assistant Dean of Students
PRIMARY RESPONSIBILITIES
Students of Concern Case Management (85%)
- Provide comprehensive case management for students experiencing a wide range of concerns, including but not limited to academic challenges, mental and physical health issues, financial difficulties, and family-related matters.
- Meet individually with students on the caseload, following established triage and prioritization protocols.
- Collaborate with faculty, staff, and academic advisors to support and assist students of concern.
- Engage with students’ family members and external support systems, as appropriate, to promote student well-being and success.
- Develop, implement, and monitor individualized plans to support students’ ongoing well-being and academic progress.
- Maintain accurate, timely, and confidential case records using Maxient case management software.
- Refer students to appropriate campus and community resources and services when necessary.
- Follow established protocols and coordinate with relevant campus entities in response to crises and emergency situations.
- Escalate concerns to the Assistant Dean of Students when appropriate.
- Assist students in navigating university processes, including course add/drop, withdrawal from individual courses or full semesters, and complaint or appeal procedures.
- Conduct proactive outreach to students on the caseload who have received early academic alerts from instructors.
ADMINISTRATION, COLLABORATION, AND UNIVERSITY COMPLIANCE (15%)
- Assist with managing emergency grant requests submitted to the Office of the Dean of Students, obtaining and uploading documentation to the Maxient case.
- Serve as a member of the Students of Concern Team, contributing to coordinated care and case review processes.
- Act on behalf of the Assistant Dean of Students in their absence.
- Support overall operation of the Office of the Dean of Students and Division of Student Affairs.
- Serve as a Campus Security Authority, as designated through applicable federal and state regulations.
- Actively participate in departmental/division efforts and projects.
- Serve on relevant University, division, department and search committees as needed.
- Support prevention, education, and outreach efforts related to student wellbeing.
- Engage in ongoing professional development related to case management and student support.
- Participate in university events, which may include evening and weekend responsibilities.
- Perform additional duties as assigned.
IMPORTANT NOTE
While this position may be filled by a licensed professional, it does not function as a clinical or therapeutic role and is not governed by licensure standards. The individual in this role is expected to maintain clear boundaries, adhere to university policies and relevant laws, and communicate transparently with students regarding their role and scope of services.

Required Qualifications:
- Bachelor’s degree in a relevant field; preferred areas include psychology, social work, education, or related disciplines.
- Proven problem-solving skills and the ability to manage complex or crisis situations involving students.
- Excellent oral and written communication skills.
- Demonstrated commitment to supporting student success.
- Flexibility to work at multiple campus locations as needed.
- Ability to meet deadlines, manage competing priorities, and perform effectively under pressure.
- Experience working effectively with individuals from diverse backgrounds and cultures.
- Strong organizational, planning, and follow-up abilities.
Preferred Qualifications:
- Master’s degree: preferred fields include, but are not limited to student affairs, social work, or higher education administration.
- An ability to quickly build rapport with students and colleagues.
- An ability to synthesize information regarding complex student issues.
- Demonstrated commitment to students’ personal and academic development.
- Excellent organizational and administrative skills.
