Continuing Education: Program Associate
Job Information
POSITION: A full-time university staff position is available in Continuing Education beginning Fall 2025. The working title for this assignment is Program Associate with an official title of Administrative Assistant II. This is an expected-to-continue assignment which requires a six-month probationary period. The expected hourly hiring salary is between $17- $20/hour, based on qualifications and experience.
MINIMUM QUALIFICATIONS:
- Required Education: High school diploma or GED
- Excellent verbal and written communication skills
- Demonstration of:
- Organizational skills, including work prioritization, attention to detail and effective problem-solving
- Flexibility in a variety of situations, including changes, and working under pressure
- The ability and willingness to learn new systems, software, and processes quickly
- Working effectively and collaboratively with diverse groups, individuals, and external customers or vendors
- The ability to lift up to 20 pounds and sitting for up to 4 hours at a time on a daily basis
- Exceptional customer service skills
- Must have the mental and visual ability to read, interpret, and manipulate MS Excel, Words, and Outlook files on a daily basis
- Must have the physical ability to operate office equipment (such as phone, computer, and printer) used to perform essential job functions on a daily basis
PREFERRED QUALIFICATIONS:
- Associate degree in Administrative Professionalism, Office Assistant or 3+ years of administrative support experience
- Prior experience with a registration database system, financial/budget system, or electronic form system
- Familiarity with UW-Eau Claire or other UW-System campus administrative procedures
- Knowledge of the Family Educational Rights and Privacy Act (FERPA)
- Previous program budget development and maintenance experience
- Previous experience coordinating a large, off-site group event
- Industry knowledge in business, healthcare, and/or technology
DUTIES:
Position Summary
The primary goal of this position is to provide administrative and program support to program managers in the creation and delivery of continuing education programs. Program Associates are responsible for program support for credit, non-credit or other continuing education programs and tasks as assigned.
- Support the creation, management, and instructional staffing of assigned programs in collaboration with the Program Manager
- Coordinate and manage the logistics of each program, prepare materials as required for the program, and act as the registration and on-site program contact
- Maintain program records and files, certification or Continuing Education Unit (CEU’s) endorsements, and scholarship applications for individual programs
- Solicit and track program sponsorship through specific program and bulk mailings
- Prepare, monitor, and report on budget items, including program revenue and program expenses, by developing and submitting the appropriate documents to initiate payment

- Interacts with a variety of internal & external customers
- Able to maintain confidentiality while working with sensitive information
- Assign and direct student work projects to ensure accuracy, effectiveness, and efficiency (if applicable)
