POSITION: A full-time, professional academic staff position is available in Blugold Central beginning July 28, 2025 to serve as Assistant Registrar. The salary will be commensurate with experience and qualifications.

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree from a regionally accredited institution
  • Higher education work experience
  • High level of professional judgment & discretion

  • Able to maintain confidentiality while working with sensitive information

PREFERRED QUALIFICATIONS:

  • Master’s Degree from an accredited institution
  • Supervisory experience
  • Knowledge of academic curriculum, curricular policies & procedures
  • Knowledge of reporting functions
  • Technical knowledge of relational databases and regulations regarding data privacy (FERPA) and data security
  • Well-developed leadership and management skills
  • 3 years’ work experience in a Registrar’s office
  • Understanding of academic structure and the systemic impacts of curricular changes

DUTIES: Under general supervision of the Registrar, the Assistant Registrar has specific and immediate responsibility for personnel and operational matters related to data systems and degree review activities of the Registrar’s Office. This position serves as the departmental expert for advanced system analysis and all external data-related processes, including but not limited to: NSC, GE/FVT, CDR reporting and curricular data management activities and serves as the lead functional expert of the degree audit software. The Assistant Registrar will demonstrate a thorough knowledge of the business processes and academic policies being supported ensuring compliance with University and UW System policies and procedures and with state and federal regulations. The individual in this position functions as the primary contact person regarding data management activities and represents the Registrar’s Office as liaison to the Universities of Wisconsin Office of Policy Analysis & Research, the divisions of Learning and Technology Services (LTS) and Institutional Research. The Assistant Registrar leads the office in the maintenance, utilization, testing, research and implementation of new product features and development of data reporting applications.

Specific Responsibilities:

  • Manage personnel and operational matters related to student data systems and degree review staff including the following:
    • operational and system reporting; authorization of access to student information system; open-record reporting; degree eligibility determination; awarding of degrees; diploma issuing; degree audit maintenance; graduation requirement interpretation; records retention; ensure compliance with University and Universities of Wisconsin policies and procedures.
  • Hire, supervise, train, and evaluate personnel; provide leadership to staff around setting goals, planning, identifying and solving problems, clarifying expectations, and evaluating processes.
  • Serve as an institutional resource for administration, faculty, staff and students in the interpretation and application of university and academic policies and provide expertise in data reporting and data management. Collaborate to resolve problems, implement new procedures, and ensure consistency.
  • Develop/recommend new policies and procedures based on campus needs, system directives, technology advancements, etc.
  • Provide leadership in identifying and implementing new technology to improve business practices to streamline processes. Strive to improve staff productivity and document processing time. Research new software solutions, best practice methodologies, gather stakeholders as necessary and work on making process improvements.
  • Provide leadership and project management supervision to ensure quality customer service is provided to our various internal and external customers.
  • As part of the leadership team, develop, and implement short- and long-term strategic goals for the office.
  • Manage the information systems in the Registration and Records and function as an Oracle Campus Solutions and Data Warehouse functional expert. Duties include:
    • Conduct and coordinate student and curricular data requirements for submission of external data reporting.
    • Provide direction and support on security, reporting and data integrity issues. Trouble shoots data integrity issues or errors.
    • Determine and apply appropriate academic structure changes.
  • Coordinate with LTS to develop data models and communicate structural changes to enhance reporting structure.
  • Coordinate with LTS to resolve system problems and make system improvements within a highly integrated administrative structure through systems design and development.
  • Interpret and administer data models and work with end users to ensure data integrity and reliability while ensuring the protection of the University’s integrated database.
