The Rental Inventory System (RIS) allows students and staff to check out equipment from the university.

Getting Started

To access the appropriate RIS, click its link:

​Login using your university username and password.
NOTE: If this is your first time using the RIS, you must accept the terms and services set by the department.

Client

Reserving Items

  1. Click on the shopping cart icon on the item.
    The item will appear in your shopping cart.
    NOTE: This can be done from the browsing view or from the item’s page.

  2. Click the shopping cart.
    Click the shopping cart
  3. Select when and how long you need the item.
    NOTES:
    The days out for the item cannot exceed its checkout limit.
    If you are reserving multiple items at once, they must all be reserved on a day that they are all available.

  4. Click Reserve.
    Click Reserve
  5. A confirmation email will be sent to you.

Canceling Reservations

If you do not need the reserved item:

  1. Navigate to the My Activity page.
  2. Click Delete next to the item that does not need to be reserved.
    click Delete
  3. State why the reservation is not needed.
  4. Click Delete.
    Click Delete fro transaction
  5. A confirmation email will be sent to you.

Staff Functions

Reserving Items

To reserve an item:

  1. Click on the shopping cart icon on the item.
    The item will appear in your shopping cart.
    NOTE: This can be done from the browsing view or from the item’s page.

  2. Click on your shopping cart.
    Click your cart
  3. Select when and how long you need the item.
    NOTES: The days out for the item cannot exceed its checkout limit.
    If you are reserving multiple items at once, they must all be reserved on a day that they are all available.

  4. Click Reserve.
    NOTE: As a staff, you can checkout items by clicking Checkout instead.
    Click Reserve
  5. A confirmation email will be sent to you.

Checking Out Items

  1. Navigate to the Reservations page.
    check in
  2. Locate the item that is being checked out.
  3. Type the item’s code into the Item Number field.
  4. Click Checkout.
    Click Checkout
  5. A confirmation email will be sent to them, stating when what was checked out and when it is to be returned.

Checking In Items

  1. Navigate to the Check In page.
    Check in
  2. Locate the item that is being checked out.
  3. Type the item’s code into the Item Number field
  4. Click Check-In.
    Click Check in
  5. A confirmation email will be sent.

Admin Functions

Overriding

Admins are able to override the reservation and check out length for items. On the reservation screen, once the check out and check in dates are set:

  1. Type the requester's Blugold ID
  2. Click the Override slider.
  3. Provide why the item is being reserved/checked out for that long.
  4. Click either Reserve or Checkout.

Adding Inventory Items

  1. Navigate to the inventory page.
  2. Click the yellow + next to Inventory.
    Click yellow plus
  3. Type the name of the item.
  4. Select the item's category.
    NOTE: If no category is selected, the item will be placed in Miscellaneous.
  5. Type the item's cost.
  6. Type the check out length.
  7. Type a unique code for the item.
  8. Upload an image of the item.
  9. Click Create Item.

Deleting Inventory Items

  1. Navigate to the item's page.
  2. Click Delete.

Updating an Item's Status

If an item needs to be notified of its quality, you will need to update its status.

  1. Navigate to the item's page.
  2. Click Edit.
    Click Item
  3. Select the most accurate status from the Status dropdown menu.
  4. Click Update Item.

Adding categories

  1. Click Categories.
    Select Category
  2. Click Category List.
    Category List
  3. Click the yellow plus next to Category.
    Click the plus
  4. Type the name of the new category.
  5. Click Create Category.

Delete Category

  1. Navigate to Category List.
  2. Click Delete for the category that you want to delete.

  3. Click OK.
    NOTE: The items in that category will automatically be moved to Miscellaneous.
    Click OK to delete

Modify Transactions

Admins can modify the length an item can be reserved or checked out.
NOTE: To extend the length of an item that has been checked out or reserved past the limit, the item must have been overridden first.

  1. Navigate to the reservation or check in page.
  2. Click Edit.

  3. Modify the length the item will be out.
  4. Click Update Transaction.
