How to Add Audio to PowerPoint on Windows 10 and Export as an MP4:

The following instructions explain how to add audio to your PowerPoint presentation on Windows 10 and export that PowerPoint as an MP4. The text instructions cover the same information as the embedded video below.

NOTE: If you do not have an updated version of PowerPoint please update it to access the features described below. To update, login to UW-Eau Claire Office 365 (office365.uwec.edu), click Install Office to download it for free (follow the instructions from PowerPoint) and select Office 365 apps from the drop-down menu.

  1. Design your PowerPoint
    TIP: Use images and limited text to better engage viewers/listeners.
  2. Click the Slide Show tab
    NOTE: Audio may also be added under Insert and Record Audio, but this method is not recommended as it leads to timing issues with recorded narration.
  3. Click Record Slide Show
    NOTE: Audio may start recording automatically if you have an older version of PowerPoint.
  4. Select Record from Current Slide or Record from Beginning
    NOTE: Any PowerPoint slide can be re-recorded by clicking Record Slide Show and Selecting Record from Current Slide.
  5. Click Record to start recording narration for a slide.
    NOTE: PowerPoint will give a three-second countdown before it begins recording.
  6. Record narration and avoid reading the text typed directly on the slide.
  7. Click the advance button, that reads Advance to the next animation or slide to record the narration for the next slide IMPORTANT: Stop speaking for a second to prevent the audio from cutting out.
  8. Press [Escape] or the ‘X’ button located in the top right of the screen when the audio recordings are finished.
  9. Check that the narration has been recorded by selecting the first slide and looking for the speaker icon.NOTE: The audio can also be checked from the recording area or by selecting the button From Beginning.
  10. Save the video by clicking File and then Export.
  11. Select Create a Video.
  12. Optional: Select Full HD (1080p) for the video quality; it is unlikely a higher quality is needed.
  13. Select Use Recorded Timings and Narrations.
  14. Click Create Video.
  15. Follow prompt/pop-up window to save the video in a memorable location. (IMAGE)
  16. Monitor the progress indicator at the bottom of the screen for when the video is no longer exporting.
    NOTE: PowerPoint does not give an indication of how long the video will take to export.
  17. Upload your mp4 video to Kaltura or Canvas to share it:

Notable Features/Tips:

  1. Timing Feature – there is a rolling time feature for the individual slide and the overall presentation. Allows the speaker/presenter to monitor how long they are talking. (IMAGE)
  2. Microphone Feature - (IMAGE) Click on Settings and select Microphone and then the specific device to set up before recording.
  3. Replay Feature - (IMAGE) Use to check that the audio is recording properly before starting additional slides.
  4. Clear Feature - (IMAGE) Select Clear to delete/re-record audio.
  5. Don’t set the camera to record - (IMAGE) Make sure this button has a diagonal slash through it to avoid the problem.
  6. Seconds spent on each slide feature – Used for when a slide does not have audio, therefore it’s recommended to have audio on each slide.

The following instructions will teach you how to add audio to your PowerPoint presentation on a Mac and export that PowerPoint as an MP4. The text instructions cover the same information as the video embedded below.

  1. Design your PowerPoint
    TIP: Use images and not a lot of text to better engage viewers/listeners.
  2. Click the Slide Show tab
  3. Click Record Slide Show
    NOTE: Audio may also be added under Insert and Record Audio, but this method is not recommended as it leads to timing issues with recorded narration.
  4. Click the Play button to begin recording.
  5. Narrate the PowerPoint as if it were in a real presentation setting.
    NOTE: Try to avoid reading the text written directly on the slide; use the slide to elaborate on the material being presented.
  6. Click the advance button, that reads Advance to the next animation or slide to record the narration for the next slide.
    IMPORTANT: Stop speaking for a second to prevent the audio from cutting out. Resume speaking when the time starts moving again under the Current slide timing feature. (IMAGE)
  7. Click Pause and then End Show when all the audio recordings have been finished. (IMAGE)
  8. Click Yes to the prompt The total time for your slide show was... to save the audio narration.
  9. Check the audio by clicking on Play from Start under the Slide Show tab or the presenter mode icon at the bottom of the screen. (IMAGE)
  10. Click File and then select Export... to save the finished PowerPoint video.
  11. Fill out text boxes (Export As, Tags etc.) follow PowerPoint’s prompts.
  12. Select MP4 from the File Format options list. (IMAGE)
  13. Select Presentation Quality or Internet Quality (if the video is exporting slowly).
  14. Click Export
  15. Monitor the progress indicator at the bottom of the screen for when the video is no longer exporting.
    NOTE: PowerPoint does not give an indication of how long the video will take to export.

Notable Features/Tricks:

  1. Timing Feature – there is a rolling time feature for the individual slide and the overall presentation. Allows the presenter/speaker to keep an eye on how long they are talking.
  2. Seconds spent on each slide feature – Used for when a slide does not have audio, this is why it’s recommended to have audio on each slide. Re-start the audio for a slide by clicking the refresh button.
  3. Refresh Feature – Re-start audio recording for a slide by clicking this button
    NOTE: Audio starts recording automatically when this portion of the application is first opened.
  4. Don’t set the camera to record - Make sure this button has a diagonal slash through it to avoid the problem.
  5. Re-record individual slides by selecting the desired slide and clicking Record Slide Show to start again.
    NOTE: Make sure to click Pause and then End Show when the slide has been re-recorded.
  6. Break long PowerPoint videos into several smaller PowerPoint videos
    1. Select File, Save As
      NOTE: Rename the second video Part 2 or something similar to avoid confusion
    2. Delete repeat slides
