Nursing: Marshfield Administrative Coordinator

POSITION: A full-time university staff position is available in the Department of Nursing in the College of Nursing & HealthSciences at the Marshfield, WI site beginning August 14, 2023. The working title of this assignment is Marshfield Administrative Coordinator, with an official title of Administrative Assistant III.  This is an expected-to-continue assignment that requires a six month probationary period. The expected hourly hiring salary will be based on qualifications and experience, with an anticipated salary up to $18-$22/hour

MINIMUM QUALIFICATIONS:

  • Excellent verbal and written communication skills.
  • Excellent judgment, including sensitivity to personal and confidential information.
  • Excellent interpersonal, communication, and customer service skills in working with diverse communities.
  • Working knowledge of desktop hardware and standard business software programs (e.g., word processing, spreadsheets, and database) and the Internet.
  • Ability to delegate and prioritize work.
  • Attention to detail, proofreading, and editing skills.
  • Work independently, as part of a team environment, and in collaborative efforts.
  • Comply with health, safety, and workplace regulations to align with practices and procedures of the Marshfield site and the University.

PREFERRED QUALIFICATIONS: 

  • Experience in higher education.
  • Bachelors Degree.
  • Experience in marketing and recruitment.

DUTIES:

The Marshfield Administrative Coordinator position provides professional administrative service to the Marshfield site to facilitate the advancement of the Traditional Bachelor of Science in Nursing (TBSN) program on the Marshfield Site. The position works in an environment that requires flexibility, initiative, willingness, and the ability to solve problems utilizing best practices and established policies and procedures. The individual in this position should be familiar with record retention schedules established by UW System and the TBSN program. The position works under general supervision and reports to the Marshfield Site Director. The ideal candidate will be able to prioritize multiple competing tasks and work collaboratively with faculty, staff, and students. This individual must be committed to positively contributing to the quality of work-life for all College employees.

Essential Job Functions and Responsibilities

40% Marshfield Undergraduate Program

  • Collaborate with Eau Claire support staff and UW-Stevens Point staff to manage scheduling of classrooms for the semester, and additional scheduling requests for faculty, staff, classrooms, and meeting rooms.
  • Consult with the UW-Eau Claire main campus regarding student and faculty/staff needs.
  • Coordinate program orientation by contacting students, inviting guests/faculty, verifying attendance, coordinating event details, and preparing orientation materials.
  • Maintain and track student information, including prerequisite completion, advisors, graduation, and employment post-graduation.
  • Point of contact for students, ability to handle any issues and solve independently with reporting appropriately and following applicable policy.
  • Provide undergraduate course support, including updating program/plans, assigning advisors, granting course permissions, monitoring student course registration status, and troubleshooting registration issues. Update and organize advisee lists and connect new students to faculty advisors via email or as needed.
  • Serve as the primary point of contact for the Marshfield Traditional BSN program.
  • Assist faculty, staff, and students with preparing technology for courses without a Marshfield site instructor.

30% Marshfield Site Operations

  • Assist with employee orientation, including University & Marshfield Clinical Health System (MCHS) new hire paperwork conducting tours, and training of site operations.
  • Inventory and order supplies for the Marshfield Site.
  • Organizes, audits, and maintains the security and confidentiality of records and files per the College's retention policy.
  • Serve as front desk manager by providing personable customer service.
  • Collaborate with the Director of the Marshfield Site on reports, outreach, visiting students, Marshfield student issues, and special projects as needed.
  • Collaborate with site director to coordinate Marshfield Site needs among UW-Eau Claire, Marshfield Clinical Health System, and UW- Stevens Point.
  • Marshfield Clinic Health System (MCHS):
  • Collect, compile, and analyze clinical cost center totals from faculty and staff each semester to create a report for MCHS for annual reporting.
  • Collaborates with the Director of the Marshfield Site with the Annual Report to MCHS.
  • Collaborate with various MCHS divisions to support Marshfield Site needs, including Division of Education, Security, Supply Chain, Helpdesk, Outreach Lab, HR/Recruiters, etc.
  • Point of contact for multi-function devices through sustainable printing initiative, including training faculty/staff and students, stocking paper, ordering ink/supplies, and troubleshooting.
  • Troubleshoot technological issues for students, faculty, and staff at the Marshfield Site through coordination with DE Coordinator, University / College staff, and UWSP-Marshfield staff as necessary and serve as a workstation account holder for the Marshfield site to address immediate technology issues and complete necessary updates.

25%         Marketing & Recruitment

  • Develop and send Weekly Update emails to Marshfield students, faculty, and staff, including general site-specific updates, events, and notices to increase student engagement.
  • Coordinate Marshfield Site events such as celebration days, Dean visits, workshops, etc., and assist Director with reimbursement materials.
  • Develop student recruitment marketing and promotional materials.
  • Develop, send, receive, and distribute communication for the Marshfield Site (telephone, postal service, courier, inter-office, email, letters, bulletin boards).
  • Coordinate website updates related to the Marshfield Site with the appropriate EC staff or Departments such as IMC, LTS, etc.
  • Develop a variety of promotional pieces for events in various programs (Adobe, PowerPoint, Publisher, etc.).
  • Maintain the Marshfield Site Facebook page and social media presence by creating posts, taking pictures, marketing for the site, events, etc.
  • Manage digital signage system for the Marshfield site.

Department

The Department of Nursing offers four degree programs: traditional Bachelor of Science in Nursing (BSN), Bachelor of Science in Nursing Completion (BSNC), Master of Science in Nursing Education (MSN), and Doctor of Nursing Practice (DNP). UW-Eau Claire is the only public university in northwestern Wisconsin that offers a baccalaureate nursing degree. All programs are accredited by the Commission on Collegiate Nursing Education (CCNE).
