Welcome Center Front Desk Professional

POSITION: A full-time university staff position is available in the Welcome Center beginning June 1, 2023. The working title for this assignment is Welcome Center Front Desk Professional with an official title of Customer Service Representative. This is an expected-to-continue assignment which requires a six-month probationary period. The expected hourly hiring wage is $18.00-$20.00 based on experience. The position is in person with a work schedule of Monday-Friday, 7:45am to 4:30pm.

DUTIES:

The Flesch Family Welcome Center serves as a first point-of-contact to UW-Eau Claire for a wide variety of campus stakeholders.  The Welcome Center Front Desk serves both Admissions and Parking & Transportation.  Under the supervision of the Assistant Director of Admissions and the Parking & Transportation Supervisor, the Welcome Center Front Desk Professional is responsible for performing a variety of tasks to create a culture of service excellence.  This position will work collaboratively with campus subject-matter experts to serve the needs of campus visitor, faculty, staff and students.  

SPECIFIC RESPONSIBLITIES:

  • Facilitate exceptional first-impression experiences for Welcome Center walk-ins, callers, email correspondence and campus visitors, connecting students and guests to campus resources as requested.
  • Serve as a first point of contact for telephone, walk-in, email and mail inquiries while maintaining a high level of customer service.
  • Maintain procedures, training and documentation to ensure consistent and excellent customer service - requiring ability to develop/maintain process and system end-user manuals and user guides in collaboration with other units.
  • Provide faculty, staff, students and campus visitors with answers, information, and satisfactory problem resolution in a timely manner regarding campus parking, general campus information and Admissions inquiries.
  • Coordinate event and visitor parking needs with university departments and outside organizations
  • Work within the Admissions office and the Enrollment Management Division to assist in recruiting and retaining students.

SCOPE OF EXTERNAL CONTACT:

This position requires contact with internal and external individuals and groups, which can include but is not limited to: UW-Eau Claire students, UW-Eau Claire managers, UW-Eau Claire faculty and staff, community members, businesses, and campus visitors.

MINIMUM QUALIFICATIONS:

  • Excellent customer service skills with the ability to handle difficult customer situations with appropriate conflict resolution skills and independent decision-making.
  • Maintain a professional and service-oriented relationship with customers and co-workers.
  • Excellent written and oral communication skills.
  • Ability to meet deadlines while remaining adaptable and flexible to different situations and changes
  • Ability to work effectively within a team-oriented environment.
  • Ability to problem-solve effectively.
  • Operational knowledge of MS Office software.
  • Ability to learn new systems, software, and processes quickly.
  • Strong organizational skills and ability to prioritize workload.
  • High school diploma or equivalent

Physical Demands: (walking, lifting, equipment operations, etc.)

The ability to sit for extended periods of time.
