College of Business: Recruitment and Advising Coordinator

POSITION: A full-time, professional academic staff position is available in the College of Business Online Programs Team beginning April 3, 2023. The working title for this assignment is Recruitment and Advising Coordinator with an official title of Graduate Program Admissions and Recruitment Coordinator I. This is a renewable assignment, contingent on performance and funding. The salary will be commensurate with experience and qualifications.

MINIMUM QUALIFICATIONS:

  • Hold a bachelor’s degree from a regionally accredited institution
  • Have 2+ years professional experience with education recruitment, advising, student services and/or other related areas.
  • Exhibit strong interpersonal, written, and oral communication skills
  • Can self-motivate, take initiative, and work well independently
  • Use Microsoft Office 365 programs proficiently
  • Exercise organization and attention to detail in all work
  • Exhibit flexibility and adaptability in dynamic work situations
  • Handle time-sensitive and confidential information appropriately
  • Demonstrate a commitment to working with diverse populations

PREFERRED QUALIFICATIONS:

  • Hold a master’s degree, preferably in business, communications, student services, or related field
  • Experience working in higher education
  • Have experience working across internal units and external entities

JOB SUMMARY:

The College of Business (CoB) Online Programs unit is hiring a recruitment and advising coordinator. This position provides prospective and current students holistic advising services to support program enrollment goals, student success, retention, and program completion. This position also develops and implements recruitment plans, organizes events, and contributes to the implementation of our marketing strategy. The ideal candidate will have a high level of energy and enthusiasm when promoting the program to prospective students with a goal of attracting, admitting, enrolling, and supporting a talented, diverse student body for the University of Wisconsin MBA Consortium. Additionally, this individual will foster a student-centered environment for admitted students and works with them to evaluate their program goals and course planning, access institutional resources and student services, and engage with a network of professionals to support career goals. This position also updates student advising records and contributes to the development and delivery of academic advising related events and programs. This individual will report to the managing director of the CoB Online Programs unit in the College of Business at UW-Eau Claire.

The CoB Online Programs unit oversees the UW MBA Consortium program. The staff members work primarily in a remote environment. On rare occasions throughout the year staff members are required to work on the UW-Eau Claire campus, but the specific date of on-campus work is communicated well in advance.  Employees are welcome to work on campus more often if desired. A typical workday consists of eight hours worked primarily between the hours of 7:00 a.m. and 5:00 p.m. although we offer a great deal of flexibility; your typical daily schedule will be agreed upon in advance with the supervisor. As a service department, we have a great deal of collaboration within our team and externally. We facilitate this collaboration primarily using Microsoft Teams whether individuals are working on campus or remotely.

DUTIES:

Admissions and Recruitment (60%)

  • Counsel prospective MBA students on educational opportunities
  • Identify opportunities for and lead development of recruitment activities
  • Assist the managing director with the processing of student applications
  • Schedule logistics and secure resources for events to promote the program
  • Evaluate program effectiveness and provide recommendations for improvement
  • Create targeted communication plans and materials based on established goals
  • Deliver directed admissions program messaging to internal and external audiences
  • Contribute to marketing strategy development and support the implementation of strategic marketing projects, such as maintaining social media presence
  • Identify, promote, and maintain internal and external partnerships focusing on outreach, recruitment, and admissions

Academic Advising (35%)

  • Serve as academic advisor for all online MBA students
  • Counsel admitted MBA students on educational planning to ensure students meet degree requirements and established policies/procedures
  • Identify opportunities for and leads development of advising resources and communication plans; provide students with access to internal and external resources to meet their goals
  • Collaborate with the UW MBA Consortium administration team to identify co-curricular opportunities for enhancing student engagement; lead implementation of and maintain co-curricular opportunities
  • Oversee Student Advisory Group, including membership selection, meeting scheduling, goal setting, and initiative execution.
  • Track student degree progress and regularly communicate with students to ensure timely degree completion, student retention, and coordination of student processing for graduation.
  • Maintain confidentiality and accurate student records and processes and respond to academic inquiries according to established institutional and FERPA policies

Miscellaneous (5%)

  • Assist in maintenance of student records
  • Stay current with trends in graduate business education, advising, networking, and graduate recruiting
  • Enhance the quality of work life for all staff
  • Perform other duties as assigned

THE UNIT: Eleven staff members comprise the CoB Online Programs team and oversee operations for the UW MBA Consortium and Undergraduate Business Alliance programs. These programs are managed by the University of Wisconsin – Eau Claire campus but are offered in collaboration with several other UW System schools.
