Major Events and Conferences Manager

A Major Events and Conferences Manager position is available in the University Centers department located in the Davies Student Center at UW-Eau Claire beginning in November, 2021. The UW System Title for this position is Event Coordinator.

The Major Events and Conferences Manager is responsible for the development and administration of year-round conferences, workshops, campus-wide special events and other large complex events as well as marketing and communications for the University Centers department. The person in this position is responsible for generating business, assisting in strategic planning and goal setting, developing and implementing relevant policy, coordinating all components of successful conferences and events, and managing financial processes and budgets related to the conference services operation both on and off campus. The Major Events and Conferences Manager will have responsibility for the successful completion of said major events and conferences by providing direction to the professional event production staff and Event Production Crew within University Centers including those who work in the Davies Student Center, Schofield Auditorium, Zorn Arena, and other performance venues on and off campus. This staff member must work closely with faculty and staff from academic departments and administrative units as well as the larger community to ensure service excellence. This position is required to build strong relationships with key community members, creating new and vibrant partnerships and recruiting revenue-generating business to campus. The individual in this position must be flexible especially in terms of hours worked since late evening, weekend, and holiday work will be a necessity. 

Required Qualifications: 

  • Bachelor’s degree
  • Professional experience in Higher Education
  • Professional experience in managing complex events in multi-use facilities
  • Demonstrated excellence in: 
  • interpersonal and customer service skills including oral and written communication 
  • leadership and mentoring skills
  • relating to diverse populations including students, faculty and staff, community members and professional contacts

Preferred Qualifications: 

  • Master’s degree 
  • Professional experience in a Major Event and Conferences (or similar) operation

Principal functions/duties related to Major Events and Conferences 

  • Develop, promote and execute Major Events, and Conferences as a one-stop-shop Conference Services model for the UW-Eau Claire campus. Help connect external entities, businesses and partners to the campus. Work with local and regional stakeholders/partners to create, promote and grow UW-Eau Claire’s Major Events and Conferences business. 
  • Develop and promote strong relationships across campus (including but not limited to Blugold Catering, Event Services, LTS, Athletics, Recreation and Sports Facilities, Housing, etc.) and the Eau Claire region (including but not limited to the EC Chamber of Commerce, Volume One, and Visit Eau Claire). 
  • Engage with various local and regional organizations, agencies, businesses and community members to understand their conference and special event needs and develop revenue-generating opportunities to meet those needs. 
  • Attend appropriate meetings with Event Services, Blugold Dining and other departments to market and inform others of the services offered. 
  • Collaborate innovatively with faculty and staff in planning, marketing, and delivering major events and conferences that generate revenue for the campus.
  • Assist with the promotion and publicity of UW-Eau Claire, University Centers and the Major Events and Conferences, Event Production and Event Services units. 
  • Develop and continuously evaluate a business plan to use as a roadmap for growing revenue.  Establish short- and long-term plans and goals for conferences and special events that are reflective of regional needs and opportunities and that are supportive of the UW System, the campus, and divisional strategic plans and initiatives. 
  • Work with Event Services and other staff to develop incentives to attract and retain new and returning groups to the campus and the area.  Oversee the evaluation of the array of major events and conferences, using evaluative information to judge the success and impact of offerings, improve future offerings, and strategically plan new conferences and special event initiatives. 

Principal functions/duties related to Marketing and Communications 

  • Assist in the execution of the IMC (Integrated Marketing Communications) approach to marketing the Major Events and Conferences at UW-Eau Claire. Support the streamlined approach for campus/student users for all web, social media, mobile apps and digital media for Major Events and Conferences and University Centers. 
  • Collaborate with IMC in the creation of external marketing materials to disseminate information about on-campus services offered by University Centers. Work with IMC to maintain an up-to-date, vibrant webpage that is easy for external clients and potential customers to navigate. Successfully use social media and other emerging technology to connect with and develop a customer base. 
  • Be actively engaged in UW-Eau Claire’s campus-wide marketing as it pertains to Major Events and Conferences. Ensure the creation of vibrant marketing items through stakeholder feedback by understanding who University Centers is serving and then how best to market via ongoing evaluation, surveys and marketing research.
