Nursing: Undergraduate Program Support

A full-time university staff position is available in the Department of Nursing beginning in November 2021. The working title for this assignment is Undergraduate Program Support with an official title of Administrative Assistant II/University Services Associate II.  This is an expected-to-continue assignment which requires a six-month probationary period.  The expected hourly hiring salary will be based on qualifications and experience.

This position provides undergraduate program support for the Traditional BSN (TBSN) program and the BSN Completion (BSNC) program including administrative support to the TBSN and BSNC Program Directors, Pre-Licensure Clinical Agency Coordinator, Faculty, and Department Chair. This position reports to the Department Chair in the Department of Nursing.

35%        Traditional BSN Program Support                   

  • Prepare and execute communication with students including information application process, and program acceptance/denial.
  • Provide program admission support including communicating with program recruiters and advisors, and preparation for admission meetings.
  • Create and maintain student files applying for admission and maintaining student admissions database.
  • Support program orientation by verifying attendance, preparing orientation materials, and coordinating orientation event details.
  • Serve as a point of contact for program related inquiries.
  • Assist with and maintain marketing materials in coordination with Integrated Marketing and Communications (IMC).
  • Assist with student travel including travel reservations and travel expense reports.
  • Manage student nametag process.
  • Create and maintain reports as assigned.
  • Maintain program files including syllabi.
  • Develop and distribute program course and instructor evaluations.
  • Provide support to the TBSN Program Director.
  • Provide other support as assigned by Department Chair.
  • Provide support to the Associate Dean regarding admission letters.
  • Manage student licensure process.

30%        BSN Completion Program Support  

  • Assist advisors as needed with access to electronic records.
  • Assist with program admissions process including accepting admission applications, developing worksheets for review process, preparing reports for admissions meetings, and updating student records to reflect admission status.
  • Share database of admitted students with relevant parties including Dean, Associate Dean, Director of BSN Completion Program, Department Chair, Student Services Coordinator, Clinical Agency Coordinator for Post-Licensure Programs and Director of Assessment & Evaluation.
  • Update and organize advisee lists. Assign academic advisers for BSN completion and associate degree alliance program students.
  • Monitor course commitment process and grant course permissions in coordination with Academic Department Associate – Eau Claire.
  • Process forms associated with change of registration, petitions/waivers, etc.
  • Assist with program recruitment including updating and distributing communication with prospective students regarding programmatic and university changes and scheduling prospective student meetings with relevant staff.
  • Create and maintain BSN Completion student files. Assist with development and maintenance of electronic database for BSN Completion student records.
  • Assist with planning and organizing of orientation meetings, information sessions, and associate degree nursing alliance application meetings.
  • Maintain program files including syllabi.
  • Develop and distribute program course and instructor evaluations.
  • Serve as a point of contact for program related inquiries.
  • Support Post-Licensure Clinical Agency Coordinator.
  • Manage Orientation materials records.
  • Provide support to the BSN Completion Program Director.

20%         Pre-Licensure Clinical Agency Coordinator Support

  • Prepare and execute clinical site agency communication.
  • Monitor and support student caregiver requirements including background checks and health records.
  • Communicate with students regarding clinical requirements.
  • Prepare clinical agency on-boarding documents.
  • Manage Orientation materials records.
  • Assist with updating and data entry into tracking spreadsheets.
  • Work with Department Chair.
  • Work with TBSN Program Director, and Clinical Agency coordinator prelicensure programs.

10%        Support Center Operational Collaboration

  • Provide administrative and operations office support for cross-coverage of offices within the Department of Nursing.
  • Other duties as assigned.

The Department of Nursing offers four degree programs: traditional Bachelor of Science in Nursing (BSN), Bachelor of Science in Nursing Completion (BSNC), Master of Science in Nursing Education (MSN), and Doctor of Nursing Practice (DNP). UW-Eau Claire is the only public university in northwestern Wisconsin that offers a baccalaureate nursing degree. All programs are accredited by the Commission on Collegiate Nursing Education (CCNE).

This position is one of four support positions within the Department of Nursing Support Center. Three of the Support Center positions are centrally located on the first floor in the College of Nursing and Health Sciences, with the fourth member being located at the UW-Eau Claire Marshfield site on the UW-Stevens Point at Marshfield campus. Each support center position has a personal office space.
