Building Services Manager

Reporting to the Assistant Director in University Centers, the Building Services Manager (working title) is responsible for coordinating and operationalizing space, facility and equipment needs for events in collaboration with the campus community, partners, outside vendors and contractors. The Building Services Manager serves as the primary contact for the centralized scheduling software, Event Management Systems (EMS) while ensuring consistent processes for internal and external clients in the collection of event details for campus facilities including the Davies Student Center, Schofield Auditorium, Zorn Arena, outdoor spaces, and some off-campus locations. This position works closely and cooperatively with professional staff, students and customers in executing the operational and programmatic services for the department.

Primary Functions

Events

  • Serve as primary contact for campus EMS users for training, development and maintenance
  • Assist customers with event planning details and apply knowledge of availability, limitations and policies related to spaces, services and equipment
  • Assess and ensure all EMS users enter consistent set up, tech services, and pricing for spaces and equipment in order to execute accurate invoicing to customers
  • Oversees checks and balances to ensure proper pricing, billing and invoicing
  • Maintain event setup diagrams and room layouts with Meeting Matrix room diagram software
  • Coordinate the data gathering and reporting for all on-campus events
  • Conduct monthly chargebacks
  • Update equipment and space lists in EMS available for reservations
  • Manage/Configure the EMS sponsor user database

Operations

  • Provide departmental operational backup coverage as needed

Minimum Qualifications

  • Bachelor’s degree
  • Excellent quality and customer service skills
  • Demonstrated experience in operational planning and execution
  • Demonstrated experience with centralized scheduling software
  • Demonstrated experience in planning, coordinating, and overseeing high-profile events
  • Demonstrated experience with hiring, training, and supervisory practices
  • Demonstrated experience in effectively communicating with diverse populations
  • Demonstrated experience working with budgets/financials

Preferred Qualifications

  • Experience working in higher education
  • Knowledge of and ability to work with student employees
  • Experience working with EMS and Meeting Matrix
  • Knowledge of UW-Eau Claire campus, policies and procedures

THE UNIT: University Centers consists of 30 staff members who oversee the Davies Student Center and its partners, including US Bank, the University Bookstore, and Blugold Dining and Catering.
