Academic Skills Center: Program Assistant (60%)
A part-time (60%) university staff position is available in Academic Skills Center beginning in April 2021. The working title for this assignment is Program Assistant with an official title of University Services Associate 2. This is an expected-to-continue assignment which requires a six-month probationary period. The expected hourly hiring salary will be based on qualifications and experience, with a minimum salary of $14.83/hour.
MINIMUM QUALIFICATIONS: A thorough knowledge of general clerical and administrative support for the Academic Skills Center to include technical support, training front desk student staff, maintaining accurate records in TutorTrac (tutor appointment online system), approve and track student payroll (tutors, front desk, and supplemental instruction leaders). The individual hired for this position must have knowledge of Microsoft Office Suite; Strong interpersonal skills to interact effectively with student, faculty and staff, including the supervising of students to maintain a smoothly functioning work unit; demonstrated customer service skills and strong verbal and written communication abilities; demonstrated organizational skills to facilitate workflow within the department; ability to use Microsoft Word for correspondence, reports, and other documents; ability to use and manage Microsoft Excel spreadsheets for maintaining a variety of records and preparing reports; ability to work with other campus units; ability to learn new systems, software and processes quickly; ability to work independently, with little direction from unit supervisor; and ability to interact professionally with visitors and students requesting assistance.
PREFERRED QUALIFICATIONS: Customer service experience with the ability to work in a face paced environment; and demonstrated ability to work in an environment committed to equity, diversity, and inclusiveness.
- Provide administrative support for the Academic Skills Center (ASC) director, programs, and staff.
- Train and supervise 6-10 student employees for front desk assistance in the Student Success Center. Assist in training other student employees as needed.
- Maintain personnel and payroll records for student employees. Maintain office files for the ASC office and program functions
- Coordinate Academic Skills Center office operations to include office procedures, maintaining adequate supplies for ASC programs.
- Coordinate services for GEN courses to include submitting course information to appropriate offices, pre-assigning students, and making book orders.
- Assist with the maintenance and preparation of reports, spreadsheets and tracking for tutoring and supplemental instruction and ASC programs as needed.
- Maintain and update TutorTrac online tutoring system.
- Perform other duties as assigned.
THE UNIT: The unit of Academic Skills Center consists of one director and three professional staff members. The Academic Skills Center (ASC) is a resource for students, faculty and staff, providing tutorial services, credit instruction for the College of Arts and Sciences, and diagnostic assessment of student academic skills. The ASC also administers the Student Success Program and collaborates with other offices. The ASC provides tutorial services to approximately 1,000 students per year and instructional services to approximately 500 students per year. This is accomplished by employing approximately 100 student tutors and 6-10 student clerical assistants. The ASC Director and three Student Services Coordinators supervise the ASC academic programs. The Program Assistant works with the ASC Director and Student Services Coordinators to develop and implement ASC policies and procedures; provides administrative support with development and management of budget activity, statistical reports, and purchasing activities; manages office, and trains students assistants; develops and maintains databases, student employee payroll and personnel records; coordinates office support functions to assure smooth operation; and provides information about ASC services to University departments and to the general public.
