Our friendly, hospitable staff invites you to start the rest of your life on the picturesque campus of the University of Wisconsin-Eau Claire, in the elegant ballrooms of W.R. Davies Student Center.

Our venue provides services for flexible possibilities for ceremonies, pre-reception family socials, on-site catering, receptions, gift openings and photography opportunities. The opportunity to create an individually unique arrangement with our creative staff allows to you to design, create and host a wedding that is distinctly yours.

If space is not booked the night before, clients may have access to the rented ballroom(s) the night before from 5PM to 8 pm for no additional cost. Clients will be notified of space availability no earlier than 10 business days prior to event date. You are required to use our catering services, provided through the university’s Blugold Dining contract service provider.

Blugold Catering is committed to making your special event a success. Our team of catering professionals is available to assist you with planning every aspect of your event, providing the highest level of food quality and service to assure the success of your special event.

Alcohol Service

Blugold Catering provides all alcohol service on campus. Both cash bars and host bars are available for your special evening. We will also do our best to accommodate any special requests for host cocktails or specialty beers. More details.

Decorations

Decorations may be put up only on the day of the event, and arrangements must be made with the Conference Coordinator. If there is room available, flowers may be delivered the day prior to the event, for storage in a Blugold Dining cooler. Please make arrangements with the Catering Director for delivery of your special decorations. Many table and room decorations can be rented from the catering department for a nominal fee; ask the Catering Director for more information.

Entertainment

Arrangements for DJs and bands are the responsibility of the client. The University requests that entertainment setups be made prior to the beginning of the reception, to avoid confusion and noise while guests are present.

Flavours Catering Guide 

Our culinary team has designed a variety of menus to fit a wide range of tastes and budgets, including regional ingredients, University favorites and specialty items. Our Flavours Catering Guide will help you through the planning process for your special day, and provide suggestions of what we can do to make your event memorable, from start to finish. Should you desire a customized menu for your event, we will be happy to meet with you to create a special menu for your specific needs. Our plated dinner entrees start at $13.90 per person, and there is no service or gratuity charge added to that.

Linens

Table linens for all service tables and guest tables as well as cloth napkins are provided at no additional charge with all dinner receptions.

Table Arrangements

Round or square tables seating six or eight people are typical for most table setups. Head tables of any size can be accommodated. Rows of tables can be struck by staff members to accommodate the need for a dance floor at any time during the event; this of course depends on room size and attendance. Cake tables can be either round or rectangular, depending on the cake size and shape and the preference of the client. Gift tables will be placed inside the room in a secure area. A small round table may also be used for a guest book.

Wedding Cakes

Our bakery staff has over 35 years of experience creating beautiful, customized wedding cakes. Each cake is unique to the bride and groom, which requires us to learn more about your tastes before establishing a price. If you purchase your cake (or any kind of dessert) from Blugold Catering, there is no charge for cutting and serving. However, if you choose to have an off-site provider bring in a cake for our staff to cut and serve, a $35 fee will be added to your invoice.

Groups that would like to provide a bar or alcohol service at their event must have an Alcohol Authorization Form on file and approval from the Assistant Director for Event Services no fewer than ten working days before the event.

Blugold Catering provides all alcohol service on campus. Both cash bars and host bars are available for your special evening. Cash bars require at least 50 guests. Hosted bars are available for any size group. We will also do our best to accommodate any special requests for host cocktails or specialty beers.

Catering

Do you provide catering services?
You are required to use our catering services, provided through the university’s Blugold Dining contract service provider.

Cakes may be purchased from Blugold Dining, or may be provided by a baker off campus. If the cake is purchased from Blugold Dining there is no charge for cutting and serving. If you purchase the cake off campus and wish to have it served by the catering staff, a fee will be added to the invoice. Time for delivery must be arranged with the Catering Director if an off-campus bakery is used. Personalized napkins may be provided by the wedding party, or cocktail napkins can be provided by Blugold Dining.

Catering fees include all table linens, napkins, place settings and staffing fees.

Can we serve alcohol?

Can we sample the menu?
Menu tastings are available and can be arranged with the Blugold Dining Catering Director. In most cases, the bride and groom will receive a free tasting. Additional individuals will be charged based upon the entrée selections.

Can we visit your venue?
We are more than happy to provide an on-site visit and consultations. Please contact us to schedule an appointment.

What type of decorations can we have?
Decorations may be put up only on the day of the event, and arrangements must be made in advance with the Conference Coordinator. Our Catering Director can assist. If there is room available, flowers may be delivered the day prior to the event, for storage in a Blugold Dining cooler. For weddings, make arrangements with the Catering Director for delivery of your special decorations. Decorations should in no way harm the venue. Glitter, confetti, rice, birdseed or any other small sprinkle items are not permitted. Live candles are permitted; they must be in a glass holder or votive cup.

When can we get in to decorate?
Our facilities are available beginning at 8 a.m. on the day of the wedding; however, if the room is not being utilized the evening prior, the client may have access from 5 p.m. to 10 p.m. for no additional charge.

How late can we stay?
Davies Center will remain open until 12:30 a.m. Alcohol service ends at 11:30 p.m. and then guests are asked to begin leaving at midnight.

Where do people park?
Complimentary parking is available in lots behind W.R. Davies Student Center.


Planning

How do we reserve your facilities?
When a date is confirmed, a 50% non-refundable deposit of the facility rental fee is due upon confirmation of the requested date. You will be required to sign a basic contract once the 50% deposit is received.

The contract is due within two weeks of receiving it. If we do not receive a contract within two weeks the room(s) may be released.

When are payments due?
A preliminary guest count is due two weeks prior to your wedding. Your final guest count provided at that time is the minimum that you will be charged for. A final guest count is due three working days prior to your wedding.

You will receive a final invoice after the wedding for the catering balance and the remaining balance of the facility fee. These will be two separate invoices. The invoices are payable within two weeks of receipt.
