COVID-19 Policies and Procedures for Event Services

We’re excited to welcome students, faculty and staff to the 2021-22 academic year.
To ensure the health of our staff and the university community, we have established temporary policies and procedures. Please read carefully the following information before requesting a reservation.
Due to the seriousness of the COVID-19 pandemic, we will be enforcing these policies and procedures strictly. Failure to adhere to them will result in loss of event and reservation privileges for the remainder of the semester.
Step 1 | Plan your meeting
Virtual meetings
We recommend that, when possible, you host your meetings virtually. This protects the health of our staff and the university community. Suggested video conferencing applications include Zoom and Skype. Contact the LTS Help Desk if you would like more information and options.
Sponsor + Attendee Restrictions
Only registered student organizations and University departments may request reservations. Accepted events must limit in-person audiences to university students, faculty, staff and/or administrators.
The following will not be accepted through May 2021:

- Reservations from non-University entities (community, government, non-profit, business, etc.)
- Reservations made on behalf of non-University entities
- Reservations that expect non-University attendees
Space + Equipment
We will provide the following for all meetings:

- Fixed-layout furniture | rooms will be set before you arrive and furniture MAY NOT be moved by the sponsor or attendees. See below for updated room capacities.
- Technology | including audio and visual support
- Hand sanitizer | stations are located throughout the Davies Center
- Cleaning | meeting spaces will be cleaned daily by our staff
- Contact tracing information | QR codes and information will be available at all meeting spaces to ensure attendees to track their attendance. This will be used in case of an outbreak. Click here for more information.

Outdoor Spaces + Zorn Arena
Outdoor spaces and Zorn Arena may be available on a case-by-case basis. Please contact us to submit a request. All policies, procedures and responsibilities apply to these spaces.
Catering
Catering is available on a limited basis. Please contact Sodexo/Blugold Catering at 715.836.2632.

Walk-in requests are not available at this time. Contact us to schedule a meeting with an event coordinator.
Step 3 | Host your meeting
- Check-in | All meeting attendees are required to check-in to assist with contact tracing. A QR code with information will be available outside all meeting spaces. It is the meeting organizer’s responsibility to ensure all attendees document contact information utilizing this system. Click here to view the check-in form.
- Enforce room capacities | Meetings MAY NOT exceed the pre-established seating capacities (see above). Rooms will be preset with seating maximum capacities. Additional attendees will need to attend remotely via phone or video.
- Don’t move furnishings | Meeting organizers and attendees MAY NOT move tables or chairs or set-up audio visual on their own. Existing room setups must be preserved.
- Wear your mask | Face masks are required by all attendees in all meetings. Attendees should provide their own masks, but the meeting organizer is responsible for ensuring all attendees have a mask.
- Practice physical distancing | All event attendees must practice 6ft social distancing.
- Wash your hands | restrooms and hand sanitizing stations are located throughout the Davies Center
