UW-Eau Claire Statement on Confidentiality and
the Use of Student Records
Electronic technology enables the University
to provide expanded information services to students and faculty. The
accessibility of this information necessitates an understanding of and
adherence to Federal, State, and University rules and policies on the
confidentiality and use of student records by users. The University will
take prompt remedial or disciplinary action against individuals who are found to
have violated this policy.
This statement encompasses rules and
practices under the Family Educational Rights and Privacy Act (FERPA), the
Wisconsin Open Records Act, the UWEC Student Records Policy, and prohibits
unauthorized disclosure or alteration of student information or records and
misuse of computer access.
Accommodation of Students' Religious
Beliefs at UW-Eau Claire
UWS Chapter 22 class for the reasonable
accommodation of a student's sincerely held religious beliefs with regard to
examinations and other academic requirements. The law requires written and
timely notification to students and instructors of the rules and complaint
process; provides that a student can conveniently and confidentially notify an
instructor of potential conflicts; permits a student to make up an examination
or academic requirement at another time or by an alternate means without any
prejudicial effect ( provided the student notifies the instructor within the
first three weeks of classes or the first full week of summer session); and a
procedure for handling and resolving complaints. To address the requirements of
the law the following procedures shall be in effect:
1. The claim of a religious conflict shall
be accepted at face value. To be granted an alternative means of meeting an
academic requirement, students must notify their instructors within the first
three weeks of class (first week of summer session or short course) of specific
days or dates on which they will request relief from an academic requirement
because of a sincerely held religious belief.
2. Any student with a conflict between an
academic requirement and any religious observance must be given an alternative
means of meeting the academic requirement.
3. Instructors may schedule alternate
non-conflicting requirements before or after the regularly scheduled examination
or other academic requirement.
4. Students or instructors who have
disagreements about the application of the law should seek an informal
resolution through the Dean of Students.
5. Should the informal resolution fail,
complaints of failure to provide reasonable accommodation of a student's
religious beliefs may be filed under procedures adopted pursuant to Chapters UWS
6 & 13.
Consumer Information
The University of Wisconsin-Eau Claire
makes available to the public, upon request, all consumer information required
by Office of Education Rules and Regulations 178.1 through 178.8. Consumer
information about the University includes, but is not necessarily limited to the
following: academic programs, educational costs, financial aid, academic
progress requirements, student retention rates, career planning and placement.

Financial Aid Information
If parents' information is used to
determine a student's financial aid eligibility, the University will discuss
financial aid information with the student's parents.
Social Security Number
The submission of social security numbers
is voluntary. The University will not use the number, if supplied, for purposes
other than routine record keeping, institutional statistics, and Federal
reporting requirements without the student's written consent.
Restrictions
Directory information may be made available
to the public unless the student restricts its release by written notice to the
Registrar's Office. Forms for this purpose are available in Schofield 128.
Students may restrict publication/display of directory information in both print
(e.g. annual Campus Directory) and/or electronic (e.g. Web site, email
directory, Blugold directory) form, as well as verbal release of directory
information. Release restrictions are in effect until the student notifies
the Registrar's Office to remove them.
To restrict publication, display, or verbal
release of your directory information, you MUST complete and sign a restriction
request form available in the Registrar's Office, Schofield 128.
Educational Bonds
The University of Wisconsin-Eau Claire
participates in the redemption program for State of Wisconsin Education Savings
Bonds. Presentation of a bond for redemption will not defer assessment of
interest on amounts owed the University. Please keep in mind that the process
established by the State Building Commission requires at least one month to
complete the redemption of the bond.
