New bulk mailing procedures to take effect Nov. 23 The checking of mailing lists against NCOA data will be done through Mail Services, as that department is required to keep mailing records on file for a minimum of two years. Mail Services will charge a yet-to-be determined nominal fee, based on mailing size, for this service. Once a mailing list has been checked against NCOA data, a corrected address report will be forwarded to the list administrator for updating. Departments/offices preparing and labeling their own mailings must make the corrections to their lists before printing and affixing the labels. For Mail Services-prepared mailings, Mail Services will make corrections in the address label file before printing and affixing the labels, but the department/office still will be responsible for making sure the mailing list updates are made before future mailings.
