There are several options while working with the Outlook Calendar that can be used to help you work more efficiently. This document discusses a few ways you can customize your calendar, including changing text size, setting Automatic Reminders, and adjusting the time increments that your calendar displays.
Reminders for Appointments can be set to appear automatically at a specific time before the appointment (the default is 30 minutes). You can change the length of time or turn off the Reminder as a default (it will still be available through the Appointment dialog box and the Quick menu).
On the Navigation pane, click CALENDAR![]()
The Calendar view appears.
From the Tools menu, select Options...
The Options dialog box appears.
Select the Preferences tab
Under Calendar, verify that Default reminder is selected
NOTE: The option is selected if a checkmark appears.
From the Default reminder pull-down list, select the desired length of time
Click OK
Your Default reminder time has been changed.
You can add some screen space by reducing the font size of the Calendar items, or enlarge the text for easier reading. You can adjust the font and font size for calendar entries or for the times displayed along the left side of the screen.
NOTE: Changes made to the Calendar font will impact printed versions of your Calendar.
On the Navigation pane, click CALENDAR![]()
The Calendar view appears.
From the View menu, select Current View » Customize Current View...
The Customize View: (Current View) dialog box appears.
Click OTHER SETTINGS...
The Format (Current) View dialog box appears.
In the section you would like to adjust, click FONT...
The Font dialog box appears.
HINT: To change the font of the hour displayed on the left side of the Calendar, click TIME FONT...
Make any necessary adjustments
Click OK
You are returned to the Format (Current) View dialog box.
OPTIONAL: To change the fonts for other displays, repeat steps 4-6
Click OK
The Format (Current) View dialog box closes.
Click OK
The adjustments to the font size are made.
By default, your Outlook Calendar is divided into 30-minute time increments. Depending on your needs, this may or may not be the most efficient. You can adjust the time increments to something that works best for you (e.g., 15 minute increments).
NOTE: Smaller increments can expand the view, but you may not be able to see the entire day at once.
You can alter the displayed time increments using the View menu.
On the Navigation pane, click CALENDAR![]()
The Calendar view appears.
From the View menu, select Current View » Customize Current View...
The Customize View: (Current View) dialog box appears.
Click OTHER SETTINGS...
The Format (Current) View dialog box appears.
From the Time scale pull-down menu, select an appropriate increment
Click OK
The Format (Current) View dialog box closes.
Click OK
Your Calendar view is adjusted to reflect the new increments.
You can alter the displayed time increments with fewer clicks by using the right click method.
On the Navigation pane, click CALENDAR![]()
The Calendar view appears.
Right click the list of times » select the appropriate increment
Your Calendar view is adjusted to reflect the new increments.
