Compacting the Archive Folders

Archiving transfers email items to a file on your H: drive. Therefore, archiving uses file space and impacts your quota on that drive. The archive file is permanent. Over time, the archive file can become quite large as newly archived items are appended to the file.

To conserve space on your H: drive, you should review the archive file periodically to identify files that can be deleted or that should be transferred to a long-term storage media (e.g., CD-RW). However, deleting or moving files out of the archive file does not automatically reduce the amount of archive file space. To reduce the file space used by archived items, you must compact the Archive Folders. For more information about account quotas, refer to Managing Your Account Quota.

NOTE: These instructions assume that you have opened your archive at least once. For more information, refer to Working with Archived Items: Viewing Archived Items.

  1. In the Navigation pane, click FOLDER LISTFolder List button

  2. In the Navigation pane, from the Folder List, right click ARCHIVE FOLDERS » select Properties for "Archive Folders"...

  3. Click ADVANCED...
    The Personal Folders dialog box appears.

  4. Click COMPACT NOW

  5. Click OK

  6. Click OK
