Microsoft Excel 2003/2004

Using Print Preview

Before printing in Excel 2003/2004, you may want to preview how your work will look.

  1. In Normal View, select the sheet you wish to preview
    HINT: If your worksheet is not in Normal View, from View menu, select Normal.

  2. From the File menu, select Print Preview
    OR
    On the Standard toolbar, click PRINT PREVIEWPrint Preview button
    The window changes to Print Preview.
    NOTE: If the image can be magnified, the cursor will become a magnifying glass.

  3. OPTIONAL: To see your sheet enlarged, while the cursor is a magnifying glass, click on the sheet
    HINT: To restore the original size at which your sheet was viewed, click ZOOM or anywhere on the sheet.

  4. Windows: To print the sheet, from the Standard toolbar, click PRINT...
    Macintosh: To print the sheet, from the Standard toolbar, click PRINTPrint button
    To return to Normal view, click CLOSE

Windows:

Button Function
NEXT Previews the next page of your sheet
PREVIOUS Previews the previous page of your sheet
ZOOM Alters the size at which your sheet is previewed
This toggles between the two possible sizes.
PRINT...
Opens the Print dialog box
NOTE: Clicking the PRINT... button while in Print Preview will bring you back to Normal view. To learn more about printing, refer to Excel Printing Basics.
SETUP...
Opens the Page Setup dialog box

MARGINS Displays or hides a sheet's margins
When the margins are displayed, you may adjust them by dragging

PAGE BREAK PREVIEW Opens Page Break Preview

CLOSE Returns to Normal view
HELP Opens the Microsoft Excel Help dialog box


Macintosh:

Button Function
