Using Junk Email Filters

The Junk Email filter is activated by phrasing (e.g., "refinance"), font styles (e.g., all caps), and symbols (e.g., dollar signs) that are characteristic of unnecessary email messages. Since junk email adds to your account quota, you should delete junk messages regularly. This document will explain how to change Entourage's email filter and how Entourage allows you to bypass the filter in different ways.

There are differing degrees of strength in Entourage's junk email filter. Consider the purpose of the email account, the type of incoming messages you are expecting, and your account quota before choosing which filter is most appropriate for you.

  1. From the Tools menu, select Junk E-mail Protection...

  2. Select the Level tab

  3. Select the desired protection setting

None
Removes the junk email filter

Low
Filters only obvious junk email

High
Filters the majority of junk email

Exclusive
Permits only messages from your Address Book, domains from your Safe Domains list, and addresses in your Mailing list Manager.

For more information regarding the Exclusive setting's parameters, refer to Working with the Address Book, Setting Safe Email Domains, or Using the Mailing List Manager.
WARNING: If you have selected the High or Exclusive filter settings, legitimate emails could be redirected to your Junk E-mail folder. Be sure to check your Junk E-mail folder often.

  1. OPTIONAL: To establish a set length of time a message remains in the Junk E-mail folder before it is automatically deleted
    1. Select Delete messages from the Junk E-mail folder older than
      HINT: The option is selected when a checkmark appears in front of it.
    2. In the Delete messages from the Junk E-mail folder older than text box, type the number of days a message will remain in the Junk E-mail folder before it is automatically deleted

  2. Click OK
    The filter is applied.

There may be certain senders you do not want subjected to the junk filters. For example, you may email from a vendor at Hewlett Packard to be directed to your Inbox rather than risking anything important to be lost in Junk E-mail folder. This can be done by setting a Safe Domain.

NOTE: The domain is the section of an email address that follows the @.

  1. From the Tools menu, select Junk E-mail Protection...
    The Junk E-mail Protection dialog box appears.

  2. Select the Safe Domains tab

  3. In the Safe Domains text box, type the domains you want to exclude from the junk email filter, separated by commas.
    EXAMPLE: Type uwec.edu, hotmail.com, lepcast.net.

  4. Click OK

Microsoft Entourage is an email client which operates within the larger framework of the Exchange server. Therefore, the server's junk filter settings will override any Safe Domains settings made in Entourage. To activate your Entourage Safe Domains list, you must include its email addresses and/or domains in the Safe Senders list of your Outlook Webmail account. For information on creating a Safe Senders list in Webmail, refer to the Outlook Webmail document Using Junk Email Filters (Internet Explorer | Safari).
