Working with Contacts

The Address Book provides a way for you to store information (e.g., name, address, phone number, or email) about individuals that you regularly communicate with. This document covers how to add contacts to your Address Book, modify contact entries, and delete contact entries.

You can add contacts to your Address Book using the dialog box option or while working with an existing email message. You may enter as little or as much information as you desire; however, it is recommended that you include at least a name and an email address for each contact.

Adding Contacts: Dialog Box Option

  1. From the File menu, select New » Contact
    The Create Contact dialog box appears.

  2. Complete the desired text boxes
    HINT: To move between fields, press [tab].

  3. OPTIONAL: To add more information,
    1. Click MORE
      The Contacts dialog box appears.
      NOTE: Although the Create Contact dialog box disappears when the Contact dialog box opens, any information you have typed so far will be transferred to its equivalent text field in the Contact dialog box.

    2. Select the desired tab
    3. Complete the corresponding text boxes
    4. Repeat steps b-c as necessary

  4. To save this contact information, from the File menu, select Save

  5. Close the dialog box

Adding Contacts: Existing Email Message

If you receive an email message from someone whose email address you would like to add to your Address Book, you can add it directly from the message. You can also add any other address or listserv name that the message was sent to.

  1. Open the email message that contains the email address you would like to add

  2. Select the name or email address

  3. Press and hold [Command key] and click the name
    The Quick menu appears.

  4. Select Add to Address Book...
    The Contacts dialog box appears, with some information completed for you.

  5. To add more information for the contact,
    1. Select the desired tab
    2. Complete the corresponding text boxes
    3. Repeat steps a-b as necessary

  6. To save this Contact information, from the File menu, select Save
    The new contact's information is saved to your address book.

  7. Close the dialog box

If someone in your Address Book has changed their contact information, you can easily make modifications in Entourage.

  1. From the toolbar, click ADDRESS BOOKAddress Book button

  2. From the Contacts list, double click the contact entry you would like to modify
    The Contacts dialog box appears.

  3. To change the information for the contact,
    1. Select the desired tab
    2. Edit the corresponding text boxes
    3. Repeat steps a-b as necessary

  4. To save this Contact information, from the File menu, select Save

  5. Close the dialog box

If you no longer need a contact in your Address Book, you can delete them.

  1. From the toolbar, click ADDRESS BOOKAddress Book button

  2. From the Contacts list, select the contact entry you would like to delete

  3. From the Edit menu, select Delete Contact
    OR
    From the toolbar, click DELETEDelete button
    A confirmation dialog box appears.

  4. Click DELETE
