Working with Subscribersfor Publishers

The Newsletter Manager allows you to manage your subscription base. You can search for and view your subscribers, subscribe, unsubscribe, or delete subscribers, and you can edit a subscriber’s information. This document contains information about the following topics:

In order to manage your newsletter's subscribers, you must access the Subscribers page.

  1. Log in to the Administrative Home page

  2. On the navigation bar, click SUBSCRIBERS
    The Subscribers page opens.

You can view subscription information about individual subscribers. To more easily locate particular information about your subscribers, you can also customize the way information is displayed.

return to topAdding Subscribers to Your Newsletter

Most of your subscribers will subscribe themselves, but administrators can also add subscribers to a newsletter through a two-step process: first by adding the subscriber to the Newsletter system, and then by subscribing them to a newsletter. Once added in this way, subscribers receive an email informing them of their new subscription.

  1. Log in to the Administrative Home page

  2. In the Quick tools section of the Administrative Home page, in the First Name text box, type the subscriber’s First Name

  3. In the Last Name text box, type the subscriber’s Last Name

  4. In the Email text box, type the subscriber’s complete Email address
    EXAMPLE: Type subscriber@uwec.edu

  5. Click ADD
    The Newsletter Subscribers page opens.
    The subscriber has been added to the Newsletter system.

  6. From the Search Subscribers pull-down list, select Non-Assigned Subscribers

  7. Click SEARCH

  8. For the subscriber you just added, in the Not Subscribed column, click VIEW
    The list of newsletters the subscriber is not subscribed to appears.

  9. For the newsletter you want to subscribe them to, select Add Subscriber

  10. To send this subscriber all issues of this newsletter marked Auto Send, select Send Past Issues

  11. Click UPDATE

You may want to determine the number of subscribers or who is subscribing.

  1. Log in to the Administrative Home page

  2. On the navigation bar, click NEWSLETTERS
    The Newsletters page opens.

  3. If necessary, use the Search tools to locate and display your newsletter
    In the Subscribers column, the number of subscribers is given.

  4. To view the list of subscribers, in the Subscribers column, click VIEW

In order to edit subscriber information or to unsubscribe or delete a subscriber, you must locate the subscriber in the Newsletter system. As your subscriber base grows, you will find the Search tools helpful.

Search fields can be used individually or in combination. You can find subscribers by browsing, using the Search text box, or using the pull-down lists to search:

return to topUnsubscribing a Subscriber

Most of your subscribers will unsubscribe themselves, but you may unsubscribe a subscriber from your newsletter if you are requested to do so. When unsubscribed in this way, subscribers receive an email informing them of the termination of the subscription. You will also need to unsubscribe subscribers if you want to delete your newsletter.

  1. Log in to the Administrative Home page

  2. On the navigation bar, click NEWSLETTERS
    The Newsletters page opens.

  3. If necessary, use the Search tools to locate and display the newsletter you want to remove the subscriber from

  4. For that newsletter, in the Subscribers column, click VIEW

  5. For the subscriber you want to remove, click REMOVE SUBSCRIBER

Because of privacy issues, you must contact the super-admin to export a list of subscribers. The file generated from the export is a .csv (comma separated values) file. This file can then be opened in Excel or a similar program.

If you have a list of people that would like to subscribe to your newsletter, they can all be added to the Newsletter system at once. You must provide the list to the super-admin to perform this function. Subscribers will receive an email informing them of their new subscription.

The list must have a .csv file extension and use the following format: FirstName, LastName, Email and should not have column headings.
