If within a folder there is a file that should be accessed only by certain individuals within the group, you may choose one of five permissions.

File permissions can only be changed by the owner of the folder (i.e., the creator) or by someone who has been granted permission by the owner. If you are not the owner of the file or have not been granted permission by the owner, the checkboxes will be gray. Therefore, you will not be able to make any chances until the owner grants you permission. By following these instructions you can grant file access to an individual user or group of users such as a class. The section Modifying File Permissions details how to set the access level for the user(s) you add.
From the Start menu, select Programs » Accessories » Windows Explorer
OR
On the desktop, double click MY COMPUTER
Windows Explorer opens.
From the Folders listing on the left side of the screen, select the appropriate drive and folder
The contents of the selected folder will appear in the Contents list.
From the updated Contents list on the right side of Explorer, select the appropriate file
From the File menu, select Properties
The Properties dialog box appears.
From the Properties dialog box, select the Security tab
In the Security tab, click ADD...
The Select Users, Computers, or Groups dialog box appears.
In the lower text box, type the name of the appropriate individual, group, or class that will have permission
OR
From the scroll box list, select the appropriate individual, group, or class that will have permission
EXAMPLE: 0121.engl.490.001
NOTE: The scroll box may take several minutes to completely load.
Click OK
The Properties dialog box reappears.

Once you have granted file access to an individual or to a group of users, you will need to set what level of access these individuals will have to the file. In reality you are simply modifying the default permissions for the user(s). In many cases the default permissions will give the new user(s) too much access (e.g., the ability to delete files), or not enough. It is a simple matter to modify the file permissions for a user.
From the Start menu, select Programs » Accessories » Windows Explorer
OR
On the desktop, double click MY COMPUTER
Windows Explorer opens.
From the Folders listing on the left side of the screen, select the appropriate drive and folder
The contents of the selected folder will appear in the Contents list.
From the updated Contents list on the right side of Explorer, select the appropriate file
From the File menu, select Properties...
The Properties dialog box appears.
From the Properties dialog box, select the Security tab
In the Properties dialog box, in the Name scroll box list, select the user or group
The user's current permissions display in the lower half of the Properties dialog box, in the Permissions section.

Under Permissions, use the checkboxes to select the appropriate permissions
Click OK
The user or group file permissions are modified.
