Qualtrics Survey System

Working with Library Items

The Qualtrics Survey System is an application that provides the tools you need to create and administer surveys and analyze the data received. Data important to your surveys can be stored in the appropriate library. This document explains the various libraries and their contents, as well as the following actions:

return to topAdding to the Message Library

In the Qualtrics Message Library you will be able to create custom invites, reminders, thank-yous, and end-of-survey and survey-closed messages. You will also be able to access templates in Qualtrics Global Library that you can customize for your own use. The messages can be created when needed and then stored in the library, or they can be created and stored in the library for future use. You may want to create a custom thank-you message for use with all your surveys.

  1. Select the Library tabLibrary tab
    The Library Overview web page appears.

  2. From the Library toolbar, click MESSAGE LIBRARYMessage Library button
    The Message Library appears

  3. In the Current Library text box, select My Library

  4. Click CREATE NEW MESSAGECreate New Message button
    The Create a New Message dialog box appears.

  5. From the Category pull-down menu, select the appropriate category

  6. In the Description text box, type a title for the message
    HINT: This serves as the "name" of the message.

  7. In the Message text box, type the message template that you would like to save

  8. Click SAVESave button
    The message template has been saved

return to topAdding to the Graphics Library

The Graphics Library is where you will store any graphics that you use in your survey. Images cannot be remotely accessed, but Qualtrics can host the images for you. If you choose a Heat Map or Hot Spot question, you will have to upload a graphic for that question.

  1. Select the Library tabLibrary tab
    The Library Overview web page appears.

  2. From the Library toolbar, click GRAPHICS LIBRARYGraphics Library button

  3. From the Current Library pull-down menu, select My Library

  4. Click UPLOAD A NEW GRAPHICUpload a New Graphic button
    The Upload a New Graphic dialog box appears.

  5. Click BROWSE...
    The Choose file dialog box appears.

  6. Navigate to and select the graphic file that you would like to upload to Qualtrics

  7. Click OPEN
    The file address will appear in the Select a File text box and a preview of the image will appear below.

  8. In the Category text box, type the desired category.
    OR
    From the Category pull-down menu, select the desired category

  9. From the Description text box, type the desired description name
    NOTE: This will be the name that this file is listed under.

  10. OPTIONAL: To adjust the width and the height of the image, from the Height and Width text boxes, adjust the pixel size
    WARNING: Doing this could distort your image.

  11. Click SAVESave button
    A thumbnail of the image will appear in your Graphics Library.
    The graphic is uploaded into your Library.

Deleting a Graphic

WARNING: Deleting a graphic from the library will also make it unavailable for any survey that uses it.

  1. Select the Library tabLibrary tab
    The Library Overview web page appears.

  2. From the Library toolbar, click GRAPHICS LIBRARYGraphics Library button

  3. From the Current Library pull-down menu, select My Library

  4. Click the graphic you would like to delete
    A dialog box appears, showing the graphic.

  5. Click DELETE IMAGE FROM LIBRARYDelete Image From Library button
    A confirmation dialog box appears.

  6. Click DELETEDelete button
    The graphic is deleted.

return to topAdding to the Survey Library

The Survey Library is where you can store survey templates of your own creation or access survey templates provided by Qualtrics. For more information on using the Survey Library, refer to Creating a Survey: Survey Library.

  1. Select the Library tabLibrary tab
    The Library Overview web page appears.

  2. On the Library toolbar, click SURVEY LIBRARYSuvey Library button
    NOTE: Unless you have already created a survey template and saved it here, nothing will show up in your Library. You can copy surveys you've created into this library as templates, but they will not be transferred automatically

  3. From the Current Library pull-down menu, select My Library

  4. Click COPY A SURVEY TO THIS LIBRARYCopy a Survey to this Library button
    The Copy a Survey to This Library dialog box appears.

  5. From the Source Survey pull-down menu, select the survey you want to copy

  6. OPTIONAL: From the Category pull-down menu, select the desired category

  7. In the Survey Name text box, type a title for this survey

  8. Click COPYCopy button
    The survey is copied into your Survey Library.

The Question Library is where you can store question templates of your own creation or access question templates provided by Qualtrics. To copy questions from the Global Library, refer to Working with Survey Questions: Copying Questions from a Source.

  1. Select the Library tabLibrary tab
    The Library Overview web page appears.

  2. On the Library toolbar, click QUESTION LIBRARYQuestion Library button

  3. From the Current Library pull-down menu, select My Library

  4. Click COPY A QUESTION TO THIS LIBRARYCopy a Question to this Library button
    The Copy a Question to this Library dialog box appears.

  5. From the Source Survey pull-down menu, select the survey that the question is in

  6. From the Source Question pull-down menu, select the question that you want to copy

  7. OPTIONAL: From the Category pull-down menu, select the desired category

  8. In the Description text box, type a title for this question

  9. Click COPYCopy button
    The question is copied into your Question Library.
