Working with the Out of Office Assistant

Outlook Webmail has an Out Of Office Assistant, which will send an automatic response to emails you receive when you are away. This response can be personalized, and will send only once to each person who emails you (no matter how many messages from the person you receive).

You can turn the Out of Office Assistant on indefinitely (until you choose to turn it off), or for a set span of time. The message that is sent can be customized for people within and outside of your organization. Once you have sent an auto-reply once, Webmail will save your last message to use again, or you can create a new message.

  1. On the toolbar, click OPTIONSOptions icon
    The Options screen appears. 

  2. From the Navigation pane, select Out of Office Assistant
    The Out of Office Assistant options are displayed.

  3. Select Send Out of Office auto-replies

  4. OPTIONAL: To send automatic replies only for a set amount of time,
    1. Select Send Out-of-Office auto-replies only during this time period
    2. From the Start time pull-down lists, select the desired start date and time
    3. From the End time pull-down lists, select the desired end date and time

  5. To create the message that will be sent to people within your organization, in the Send an auto-reply once to each sender inside my organization with the following message text box, type your message

  6. To create the automatic reply that will be sent to people outside of your organization,
    1. Select Send Out of Office auto-replies to External Senders
      NOTE: This option is selected if a checkmark appears.
    2. To send the reply only to people outside of your organization who are in your Contacts list, select Send Out of Office auto-replies only to senders in my Contacts list
      To send the reply to everyone from outside of your organization who emails you, select Send Out of Office auto-replies to anyone outside my organization
    3. In the Send an auto-reply once to each sender outside my organization with the following message text box, type your message

  7. Click SAVESave icon
    Your Out of Office message is now set.

  8. To return to your mailbox, from the Navigation pane, click MAILMail icon

After you create an auto-reply message, Webmail will save the last message you used even after auto-replies are turned off. If you would like to create a new auto-reply message, you can do so. You can also send different messages to people within or outside of your organization.

  1. Turn the Out of Office Assistant on

  2. To re-use the previous message for people in your organization, in the Send an auto-reply once to each sender inside my organization with the following message text box, verify the message
    To change the message that will be sent to people in your organization,
    1. Select Replace my current Out of Office message with the following
      HINT: This option is selected if a checkmark appears.
    2. In the Replace my current Out of Office message with the following text box, type your message

  3. To send an automatic reply to people outside of your organization,
    1. Select Send Out of Office auto-replies to External Senders
      NOTE: This option is selected if a checkmark appears.
    2. To send the reply only to people outside of your organization who are in your Contacts list, select Send Out of Office auto-replies only to senders in my Contacts list
      To send the reply to everyone from outside of your organization who emails you, select Send Out of Office auto-replies to anyone outside my organization

  4. To re-use the previous message for people outside of your organization, in the Send an auto-reply once to each sender outside my organization with the following message text box, verify the message

    1. Select Replace my current external Out of Office message with the following
      HINT: This option is selected if a checkmark appears.
    2. In the Replace my current external Out of Office message with the following text box, type your message

  5. To save your message (and any other changes), click SAVESave icon

When you return after an absence, it is important to turn off the Out of Office Assistant to be sure that you don't inadvertently keep informing people that you are away.

  1. On the toolbar, click OPTIONSOptions icon
    The Options screen appears. 

  2. From the Navigation pane, select Out of Office Assistant
    The Out of Office Assistant options are displayed.

  3. Select Do not send Out of Office auto-replies

  4. Click SAVESave icon
    Your Out of Office message is turned off.

  5. To return to your mailbox, from the Navigation pane, click MAILMail icon
