Microsoft Outlook Webmail

Basic Email Activities

Outlook has many unique, enhanced features. This document covers tasks that are basic to email. For information on deleting messages, refer to Deleting Items.

return to topOpening the Inbox

When you open Outlook Webmail, your Inbox should open automatically. However, if this is not the case, or if you have been using another Outlook Webmail feature, you will need to open your Inbox to read messages or to check mail.

  1. From the Navigation pane, click MAILMail icon
    The Inbox appears in the main window.

return to topChecking for New Mail

The Outlook Webmail Inbox displays new mail in bold at the top of the message list. The bold face is removed after a new message has been read. New mail automatically appears when the Outlook Webmail Inbox is first opened, but you may wish to check for new mail while using Outlook Webmail.

  1. To check for new mail, on the Taskbar, click CHECK MESSAGESCheck Messages icon
    NOTES:
    If you have new mail, the new message(s) will appear at the top of the message list.
    If you do not have new mail, the message list will not change.

When you want to send an email from Outlook, follow these simple procedures:

  1. With your Inbox open, on the Outlook toolbar, click NEWNew Message button
    The New Message screen appears.

  2. In the To text box, type the email address of the recipient
    EXAMPLE: UWEC username
    HINT: If you are sending a message to multiple recipients, use semicolons ( ; ) to separate the complete addresses.

  3. OPTIONAL: In the Cc text box, type the email address of anyone you would like to receive a carbon copy of the message

  4. In the Subject text box, type an appropriate subject line

  5. In the body of the message, type your message content

  6. When complete, click SENDSend button

Sending Email Messages to "Hidden" Students

Some students choose to have their email account and personal information excluded from the electronic directories. In these cases, you must use their complete email address (e.g., smithzz@uwec.edu) when addressing email messages to them. If you do not include @uwec.edu, the Check Names dialog box will appear, indicating that Outlook does not recognize the email name.

From your Inbox, you can read both old and new email messages.

NOTE: To read your messages, your Inbox must be opened.

Reading Email Messages: Reading Pane

  1. Select the message you want to read
    The message appears in the Reading Pane.
    NOTES:
    To read a message not located on page 1 of the Inbox, at the bottom of the Folder Contents pane,
    click NEXT or LAST PAGENext and Last Page icon.
    To go back, click FIRST or PREVIOUS PAGEPrevious and First Page icon.

Reading Email Messages: Message Window

  1. Double click the message you want to read
    The message window appears in a new window.
    NOTES:
    To read a message not located on page 1 of the Inbox, at the bottom of the Folder Contents pane,
    click LAST or NEXT PAGENext and Last Page icon.
    To go back, click FIRST or PREVIOUS PAGEPrevious and First Page icon.

  2. To move to a different message without returning to the Inbox message list, on the message toolbar, click PREVIOUS ITEMPrevious Item iconor NEXT ITEMNext Item icon 

  3. When finished reading, click CLOSE

You may wish to forward the same message to multiple recipients, or to yourself in an effort to retrieve them from the Deleted Items folder.

Forwarding Email Messages: Reading Pane

  1. Select the message you want to forward
    The message appears in the Reading Pane.

  2. On the Reading Pane toolbar, click FORWARDForward icon

  3. In the To text box, type the email address of the person to which you wish to forward the message
    EXAMPLE: doeja

  4. OPTIONAL: In the Cc text box, type the email address of anyone you would like to receive a carbon copy of the message

  5. OPTIONAL: In the body of the message, type any remarks regarding the forwarded message

  6. Click SENDSend button

Forwarding Email Messages: Message Window

  1. To open the message you want to forward, double click it
    The message opens in a new window.
  2. On the message toolbar, click FORWARDForward button

  3. In the To text box, type the email address of the person to which you wish to forward the message
    EXAMPLE: doeja

  4. OPTIONAL: In the Cc text box, type the email address of anyone you would like to receive a carbon copy of the message

  5. OPTIONAL: In the body of the message, type any remarks regarding the forwarded message

  6. Click SENDSend button

Printing email messages in Outlook Webmail is very similar to printing documents in Microsoft Word.

  1. To open the message you want to print, double click it
    The message opens in a new window.

  2. From the browser's Navigation toolbar, click PRINTPrint icon
    The Print dialog box appears.

  3. If necessary, make the appropriate adjustments in the Print dialog box

  4. Click OK

When you are done using Outlook Webmail, you should always log off the computer so that nobody else can access your account. This is especially important when you are using a shared computer.

  1. From the Taskbar, click LOG OFFLog Off button
    The login window appears; you are now logged off.
