Additional Options for Contacts

Outlook Webmail's Contacts feature allows you to organize your contacts, display a map of the contact's address, and attach a file to the contact's profile.

NOTES:
For basic information about the Contacts feature, refer to Using the Contacts Feature.
In this document, you will be using the Contacts task pane often. If the Contacts task pane is hidden, clicking theUnhide Contacts Task Pane iconwill make it appear.

return to topUsing Contact Folders

When you create a contact, Outlook automatically saves it in the Contacts folder. However, when you have several contacts in an unordered list, finding an individual contact may become difficult. To help you organize your contacts, you can create folders to simplify the search process.

Creating a New Contact Folder

  1. From the Outlook Navigation pane, click CONTACTSContacts icon
    The Contacts screen appears.

  2. From the Contact Folders list, click CREATE NEW FOLDER
    A text box appears.

  3. In the text box, type a name for the contact folder

  4. Press [Enter]
    The folder is created.

Moving a Contact into a Folder

NOTE: Before you begin, create the contact folder to which you will add contacts.

  1. From the Outlook Navigation pane, click CONTACTSContacts icon
    The Contacts screen appears.

  2. From the Contact Folders list, select the folder where your contact is currently located
    NOTE: The default folder is Contacts.

  3. Select the desired contact and drag it to the desired folder

  4. Release the mouse button
    The contact moves to the selected folder.

Deleting a Contact Folder

  1. From the Outlook Navigation pane, click MAILMail icon

  2. To make the Contact folders appear, from the Folders list, click theExpand iconbeside Contacts

  3. Right click the folder to delete » select Delete
    The folder is moved to the Deleted Items folder.

By sorting Contacts, you can organize your contacts according to specific information or by affiliation. 

Using the Show Option

After selecting the desired contact folder, the Show option will allow you to display People (i.e., Contacts), Distribution Lists, or All (i.e., both Contacts and Distribution Lists).

NOTE: Distribution lists cannot be created or edited in this version of Webmail. However, existing distribution lists or ones created in an Outlook client will appear in this version.

  1. From the Outlook Navigation pane, click CONTACTSContacts icon
    The Contacts screen appears.

  2. From the Contact Folders list, select the folder to display
    NOTE: The default folder is Contacts.

  3. In the Show section, select All, People, or Distribution Lists
    The folder contents matching your selection are displayed.

Arranging Contacts by Fields

You can sort your the contents of your Contacts folders alphabetically or by fields (e.g., Last name, Company, Department).

  1. From the Outlook Navigation pane, click CONTACTSContacts icon
    The Contacts screen appears.

  2. From the Contact Folders list, select a folder for your contact
    NOTE: The default folder is Contacts.

  3. Above the Contacts list, click ARRANGE BY » select the desired field
    The contacts list is sorted.

  4. To sort the Contacts list from A to Z or from Z to A, click A ON TOP or Z ON TOP

return to topDisplaying a Map of a Contact's Address

If you know the address of your contact, Web Outlook provides a map feature which will give you directions to your contact's location.

NOTE: Be sure that the contact's profile includes an address. To add an address, refer to Editing a Contact's Information.

  1. From the Outlook Navigation pane, click CONTACTSContacts icon
    The Contacts screen appears.

  2. Select the contact for which you you want to display a map

  3. If you have your reading pane turned off, click SHOW/HIDE READING PANEShow/Hide Reading Pane icon» select Right or Bottom

  4. In the reading pane, in the Address section, find the correct address you want (e.g., Home, Business) » click MAP THIS ADDRESS...
    A map of the contact's address appears in a new window or tab.

Attachments, such as a resume, can help describe a contact in addition to the contact's profile.

NOTE: Contact attachments can be accessed in the contact window.

Attaching a File to a Contact

  1. From the Outlook Navigation pane, click CONTACTSContacts icon
    The Contacts screen appears.

  2. From the Contact Folders list, select a folder for your contact
    NOTE: The default folder is Contacts.

  3. Double click the contact for which you want to attach a file
    The contact's profile opens in a new window or tab.

  4. From the Contact toolbar, click ATTACH FILEAttach File icon
    The Attach Files -- Webpage Dialog box appears.

  5. Click BROWSE
    The Choose file dialog box appears.

  6. From the Look in pull-down list, navigate to and select the file you want to attach

  7. Click OPEN
    The file appears in the Attach Files -- Webpage Dialog box.

  8. OPTIONAL: To attach more files
    1. Click CHOOSE MORE FILES
      An empty Browse text box appears.
    2. Repeat steps 5–7

  9. Click ATTACH
    The attachment(s) are added to the contact's profile.

  10. Click SAVE AND CLOSESave and Close icon

Removing an Attachment from a Contact

  1. From the Outlook Navigation pane, click CONTACTSContacts icon
    The Contacts screen appears.

  2. From the Contact Folders list, select a folder for your contact
    NOTE: The default folder is Contacts.

  3. Double click the contact from which you want to delete an attachment
    The contact's profile opens in a new window or tab.

  4. From the Details section, in the Attachment list, click the attachment you want to delete
    The attachment is highlighted.

  5. Press [Delete]
    The attachment is removed.

  6. Click SAVE AND CLOSESave and Close icon
    The changes are saved.
