Scheduling Events

When maintaining Calendars, it is important to schedule events, annual events, and recurring events. According to Calendar's help feature, examples of an event include a vacation or a seminar. An annual event, such as a birthday or anniversary, occurs yearly on a specific date, while a standard event occurs once and can last for one day or several days. Events and annual events do not occupy blocks of time in your Calendar; instead, they appear in banners. An all-day appointment shows time as busy while an event or annual event shows time as free when viewed by others.

If you want to schedule one new event, the following instructions will assist you:

  1. From the Outlook sidebar, click CALENDAR Calendar button

  2. On the toolbar, click NEWNew button
    OR
    From the New pull-down list, select Appointment
    The New Appointment window appears.

  3. In the Subject and Location text boxes, type the appropriate information

  4. From the Start time pull-down lists, select the desired date and time

  5. From the End time pull-down lists, select the desired date and time
    OR

    Select All day event
    NOTE: The End time automatically adjusts.

  6. OPTIONAL: From the Reminder pull-down list, set the appropriate time
    OR
    To turn off the reminder service, deselect the Reminder check box

  7. OPTIONAL: To adjust how the appointment appears to others, from the Show time as pull-down list select the desired option
    NOTE: Options include Busy, Free, Tentative, and Out of Office.

  8. If appropriate, in the Description area, type a description or notes about the event

  9. Windows: When finished, click SAVE AND CLOSESave and Close button
    Macintosh: When finished, click SAVESave Button

To schedule a recurring event (one that will repeat), complete the following steps:

Windows:

  1. From the Outlook sidebar, click CALENDARCalendar icon

  2. On the toolbar, click NEWNew Calendar button
    OR
    From the New pull-down list, select Appointment
    The Appointment window appears.

  3. In the Subject and Location text boxes, type the appropriate information

  4. From the Start time pull-down lists, select the desired date and time

  5. From the End time pull-down lists, select the desired date and time
    OR

    Select All day event
    NOTE: The End time automatically adjusts.

  6. On the toolbar, click RECURRENCERecurrence button
    The Recurrence pattern dialog box appears.

  7. In the Recurrence pattern section, select how often the event will recur

  8. In the Range of recurrence section, select the start and end dates for the recurrence

  9. When finished, click OK

  10. On the toolbar, click SAVE AND CLOSESave and Close button

Macintosh:

  1. From the Outlook sidebar, click CALENDAR Calendar icon

  2. On the toolbar, click NEWNew Calendar button
    OR
    From the New pull-down list, select Appointment
    The Appointment screen appears.

  3. In the Subject and Location text boxes, type the appropriate information

  4. From the Start time pull-down lists, select the desired date and time

  5. From the End time pull-down lists, select the desired date and time
    OR
    Select All day event
    NOTE: The End time automatically adjusts.

  6. On the toolbar, click RECURRENCERecurrence button
    The Recurrence pattern screen appears.

  7. In the Appointment time section, select how often and when the event recurs

  8. In the Range of recurrence section, select the end date for the recurrence

  9. When finished, click OK

  10. On the toolbar, click SAVESave Button
