Scheduling Appointments

Outlook Webmail's Calendar feature lets you schedule appointments, including all-day events, on either an individual or recurring basis. Appointments are shown as blocks of time, giving you a clear visual map of your time commitments.

return to topScheduling a New Appointment

By scheduling a new appointment, you create a one-time event on your calendar.

  1. From the Navigation pane, click CALENDARCalendar icon

  2. On the toolbar, click NEW APPOINTMENTNew Appointment icon
    The New Appointment screen appears.

  3. In the Subject text box, type the appropriate information
    NOTE: This information will appear in your Calendar view.

  4. In the Location text box, type the appropriate information
    NOTE: This information will appear in your Calendar view.

  5. If you are scheduling an all-day appointment, select All day event

  6. To set a specific starting and ending time
    1. From the Start time pull-down list(s), select the desired start date and time
    2. From the End time pull-down list(s), select the desired end date and tim

  7. To adjust how the appointment appears to others, from the Show time as pull-down list, select the desired option
    NOTE: Options include Busy, Free, Tentative, or Out of office.

  8. To keep appointment information private from those who can view your calendar, select Private

  9. OPTIONAL: In the text area, type any notes relevant to the appointment

  10. On the toolbar, click SAVE AND CLOSESave and Close icon
    The appointment is added to your Calendar.

Scheduling a recurring appointment is much like scheduling a new appointment. The differences begin with the information you select in the New Appointment screen.

  1. From the Navigation pane, click CALENDARCalendar icon

  2. On the toolbar, click NEW APPOINTMENTNew Appointment icon
    The New Appointment screen appears.

  3. In the Subject text box, type the appropriate information
    NOTE: This information will appear in your Calendar view.

  4. In the Location text box, type the appropriate information
    NOTE: This information will appear in your Calendar view.

  5. If you are scheduling an all-day appointment, select All day event

  6. To set a specific starting and ending time
    1. From the Start time pull-down list(s), select the desired start date and time
    2. From the End time pull-down list(s), select the desired end date and time

  7. To keep appointment information private from those who can view your calendar, select Private

  8. To adjust how the appointment appears to others, from the Show time as pull-down list, select the desired option
    NOTE: Options include Busy, Free, Tentative, or Out of office.

  9. OPTIONAL: In the text area, type any notes relevant to the appointment

  10. On the toolbar, click RECURRENCE...Recurrence icon
    The Recurrence screen appears.

  1. In the Appointment time section, make the desired adjustments
    NOTE: The Start and Duration selections reflect the changes made in the New Appointment screen.

  2. In the Recurrence Pattern section, specify how the appointment will recur on your Calendar
    EXAMPLE: Select Weekly » Recur every 1 week(s) on » Monday.

  3. In the Range of Recurrence section, specify the range of time during which the appointment will recur
    EXAMPLE: Select Start: November 27, 2006 » No end date.

  4. On the Recurrence screen, click SAVESave icon
    The New Appointment screen reappears.

  5. On the New Appointment screen, click SAVE AND CLOSESave and Close icon
    The recurring appointment is added to your Calendar.
