Scheduling Appointments

Outlook Webmail's Calendar feature lets you schedule appointments on either an individual or recurring basis. Appointments are shown as blocks of time, giving you a clear visual map of your time commitments.

By scheduling a new appointment, you are creating a one-time event on your calendar. Appointments can be scheduled either within a designated time span, or as an all day event.

  1. In the Navigation pane, click CALENDARCalendar icon

  2. On the Toolbar, click NEWNew Appointment icon
    OR
    From the New pull-down list, select Appointment
    The Untitled Appointment screen appears.

  3. In the Subject text box, type the appropriate information
    NOTE: This information will appear in your Calendar view.

  4. In the Location text box, type the appropriate information
    NOTE: This information will appear in your Calendar view.

  5. If you are scheduling an all-day appointment, select All day event

  6. To set a specific time span
    1. From the Start time pull-down list(s), select the desired start date and time
    2. From the End time pull-down list(s), select the desired end date and time

  7. OPTIONAL: From the Reminder pull-down list, set the appropriate time at which you would like to be sent a reminder message
    OR
    To turn off the reminder service, deselect Reminder
    For information on responding to Reminders, refer to Calendar Options.

  8. OPTIONAL: To adjust how the appointment appears to others, from the Show time as pull-down list, select the desired option
    NOTE: Options include Busy, Free, Tentative, and Out of office.

  9. OPTIONAL: In the text box, type additional information or notes about the appointment

  10. From the toolbar, click SAVE AND CLOSESave and Close icon
    The appointment is added to your Calendar.

Scheduling a recurring appointment is much like scheduling a new appointment. The differences begin with the information you select in the New Appointment window.

  1. From the Outlook sidebar, click CALENDARCalendar icon

  2. On the toolbar, click NEWNew Appointment icon
    OR
    From the New pull-down list, select Appointment
    The New Appointment window appears.

  3. In the Subject text box, type the appropriate information
    NOTE: This information will appear in your Calendar view.

  4. In the Location text box, type the appropriate information
    NOTE: This information will appear in your Calendar view.

  5. If you are scheduling an all-day appointment, select All day event

  6. To set a specific time span
    1. From the Start time pull-down list(s), select the desired start date and time
    2. From the End time pull-down list(s), select the desired end date and time

  7. OPTIONAL: From the Reminder pull down list, set the appropriate time at which you would like to be sent a reminder message

  9. On the toolbar, click RECURRENCE...Recurrence icon
    The Recurrence dialog box appears.

  10. In the Recurrence Pattern section, specify how the appointment will recur on your Calendar
    EXAMPLE: Select Weekly » Recur every 1 week(s) on » Monday.

  11. In the Range of Recurrence section, specify the range of time during which the appointment will recur
    EXAMPLE: Select Start: November 27, 2006 » No end date.

  12. When finished, click OK
    The Recurrence screen closes.

  13. In the New Appointment screen, click SAVE AND CLOSE
    The recurring appointment is added to your Calendar.
