About the Page Setup Dialog Box

The Page Setup dialog box provides many options for customizing your print settings for Microsoft Excel XP/X. Changes made for the page setup are made for each sheet individually. This means that one sheet can be printed landscape and another printed portrait without readjusting the settings for each sheet.

The Page Setup dialog box is accessible by several means. The dialog box can be selected directly from the File menu and the Print Preview dialog box. Depending on how you access the Page Setup dialog box, some options may not be available. For all options to be available, the dialog box must be accessed by the following step:

  1. From the File menu, select Page Setup...

There are different option tabs in the Page Setup dialog box. Page setup options and options in each tab are explained in this document.

The following options are available in the Page Setup dialog box, regardless of what tab you are working on. They are located along the right side of the dialog box.

OK
Accepts the settings and returns you to your Excel spreadsheet.

Cancel
Exits the Page Setup dialog box without implementing the changes.

Print...
Opens the Print dialog box, which allows you to adjust the number of copies and print range before printing.

Print Preview
Allows you to preview the current sheet using current options before printing. Available options on the Print Preview screen include adjusting print settings and changing margins.

Options...
Opens a dialog box where you can adjust printer settings.

Under the Page tab of the Page Setup dialog box, you will find several options that enable you to specify how you want your worksheet to print. This section provides information about Page tab options; for instructions on adjusting specific Page tab options, refer to Customizing the Page Layout.

Orientation
Selects the width of the printed page. Most documents are portrait; however, many spreadsheets may be easier to read in the landscape mode. In addition, this option can also be used to fit a large worksheet to one sheet of paper. To adjust specific options, refer to Customizing the Page Layout.

Scaling
Adjusts the percentage of the printed copy's actual size. Options are available for fitting all columns or rows to a certain number of pages. The default size of the printed copy is 100%. To adjust specific options, refer to Customizing the Page Layout.

Paper size
Selects the paper size to match the stock which is currently loaded in the printer. To adjust specific options, refer to Customizing the Page Layout.
Macintosh: This option can be accessed by clicking OPTIONS...

Print quality
Adjusts the resolution of your printer.
Windows: Options include High, Medium, Low, and Draft.
Macintosh: Options include Normal, High, and 300 dpi.

First page number
Sets the page number which will print on the first page. If you want the first page number to be number one (1), leave the selection on Auto. For more information on adjusting specific options, refer to Customizing the Page Layout.

The Margins tab of the Page Setup dialog box provides options that allow you to set all your margins and center your sheet both vertically and horizontally. Top, Bottom
Allows you to adjust the top and bottom margin. To adjust specific options, refer to Customizing the Page Layout.

Left, Right
Adjusts the left and right margin. To adjust specific options, refer to Customizing the Page Layout.

Header, Footer
Allows you to adjust how far from the edge of the paper the header and footer will begin. To adjust specific options, refer to Customizing the Page Layout.

Center on page
Centers the worksheet on a printout horizontally, vertically, or both. For more information on adjusting specific options, refer to Customizing the Page Layout.

The Header/Footer tab of the Page Setup dialog box allows you to access options which adjust the information at the top of each page (header) or the bottom of each page (footer). Headers and footers are descriptive text printed at the top and bottom of every page in your worksheet. Headers and footers can contain the date, page number, filename, text or the contents of a cell. Excel has two types of headers and footers available. The first, preset, comprises samples from Microsoft and headers or footers you have used from other files in the past. The second type, custom, is created by you. This section provides information about Header/Footer tab options; for instructions on adjusting specific Header/Footer tab options, refer to Modifying Header and Footer Information.

Header
Offers a choice from a list of preset headers. Headers you have used on past documents will appear in this list. To adjust specific options, refer to Customizing the Page Layout.

Custom Header...
Allows you to create your own header. Options include adding time, data, page numbers, and text. In addition, you can also change the font associated with all of these options. To adjust specific options, refer to Customizing the Page Layout.

Custom Footer...
Allows you to create your own footer. Options are the same as those in creating a custom header. To adjust specific options, refer to Customizing the Page Layout.

Footer
Offers a choice from a list of preset footers. Footers you have used on past documents will appear in this list. To adjust specific options, refer to Customizing the Page Layout.

Under the Sheet tab of the Page Setup dialog box, you are provided with several options for what you want printed on your worksheet. This section provides information about Sheet tab options; for instructions on adjusting specific Sheet tab options, refer to Other Printing Options.

Print area
Allows you to enter a range of cells to print.

Print titles
Allows you to specify the rows or columns to print on each page. This is useful in printing heading rows at the top of each page in a report. Options for this section include Rows to repeat at top, and Columns to repeat at left.

Print
Allows certain elements of your spreadsheet to be printed. Options include Gridlines, Black and white, Draft quality, Row and column headings, Comments, and cell errors as (Windows only). This is most useful in selecting whether gridlines will be printed.

Page order
Controls the order in which the pages of your spreadsheet are numbered and printed when the printout will not fit on one page.
