Managing Email with Folders

If you have a large quantity of related messages that you want to keep together for easy reference, you may want to use folders to organize them. This document explains how to use and create folders to manage your emails in Entourage.

Entourage allows you to create new folders and move items into them.

  1. From the File menu, select New » Folder...
    The Create New Folder dialog box appears.

  2. In the Name text box, type a name for the folder

  3. From the Type pull-down list, select Mail Folder

  4. In the Click a location for the new folder box, select the location you want the new folder to appear in

  5. Click OK
    The folder is created.

Messages can be transferred to new folders after you create them, or you may choose to create a new folder while transferring a message.

Transferring to a New Folder

  1. Select the message to be transferred
    HINT: You can select and transfer multiple messages at once. For more information, refer to Selecting Multiple Messages.

  2. From the Message menu, select Move To » Choose Folder...
    OR
    From the Mail toolbar, click MOVEMove button
    The Move dialog box appears.

  3. Click NEW FOLDER
    The Create New Folder dialog box appears.

  4. In the Name text box, type the name of the folder

  5. In the Click a location for the new folder box, select the location you want the new folder to appear in

  6. Click OK
    The new folder appears in the location you have chosen in the Move dialog box.

  7. If the new folder is not already selected, select it

  8. Click MOVE
    The message is transferred to the new folder.

Transferring to an Existing Folder: Menu Method

  1. Select the message to be transferred
    HINT: You can select and transfer multiple messages at once. For more information, refer to Selecting Multiple Messages.

  2. From the Message menu, select Move to » Choose Folder...

    From the Mail toolbar, click MOVEMove button
    The Move dialog box appears.

  3. Select the desired folder

  4. Click MOVE
    The message is transferred.

Transferring to an Existing Folder: Click and Drag Method

  1. To display the Folders list, from the View menu, select Folders List
    NOTE: If there is a checkmark beside the Folders List option, the list is displayed.

  2. Click the message and drag it to the desired folder
    HINT: You can select and transfer multiple messages at once. For more information, refer to Selecting Multiple Messages.

You do not have to transfer messages one at a time. To save time while transferring a group of messages, you can select the whole group at once.

Selecting a Group of Adjoining Messages

  1. Select the first message to be transferred

  2. Hold down the [shift] key

  3. Select the last message to be transferred

  4. Release the [shift] key
    The messages between the first and last are selected.

Selecting a Group of Separated Messages

  1. Select the first message to be transferred

  2. Hold down the [command] key

  3. Select the next item

  4. Repeat steps 2–3 until all messages are selected

  5. Release the [command] key
    The messages are selected.

Folders can be opened by viewing the Folders list.

  1. To display the Folders list, from the View menu, select Folders List
    NOTE: If there is a checkmark beside the Folders List option, the list is displayed.

  2. Select the desired folder
    The contents of the folder will be displayed in the right side of the window.

If you decide that a folder is no longer needed, you can easily delete the folder from the Folders list.

WARNING: If you delete a folder, you will also delete the folder's contents.

  1. From the Folders list, select the folder you would like to delete

  2. Click DELETEDelete button
    OR
    Press [del]
    The folder is deleted.
