Annotating a PDF File: Working with Markups

This document explains how to use the Show tool and how to modify a markup. It also explains how to move, resize, and delete markups. For more information on the Comment and Markup tools, please refer to Using the Comment and Markup Tools and Using the Text Edits Tools.

return to topUsing the Show Tool

The Show tool on the Comment & Markup toolbar allows you to see only the comment properties that you select in your PDF file.

NOTE: If the Comment & Markup toolbar is not visible, from the View menu, select Toolbars » Comment & Markup

  1. On the Comment & Markup toolbar, click SHOWShow button » select the desired option
    NOTE: An option is selected if a checkmark appears before it.

Show Comments List Opens a panel beneath the document containing all comments and reviewers for this document
HINT: When the Comments List is visible, this option changes to Hide Comments List
Hide All Comments Hides all comments, making them invisible until they are made visible again
HINT: When all comments are hidden, this option changes to Show All Comments
Show by Type Allows you to show only comments of a particular type (e.g., stamps or text editing markups)
Show by Reviewer Allows you to show comments only by a specific reviewer
Show by Status Shows only comments that have been given a certain status (e.g., approved by another user, or cancelled)
Show by Checked State Allows you to show comments according to whether they are checked or unchecked
Open All Pop-Ups Shows the entirety of all pop-up notes
Minimize All Pop-Ups Closes pop-up notes, showing only the yellow note indicator
Show Connector Lines Shows the connector lines between the pop-up notes and the markup
Align New Pop-Ups by Default Aligns the pop-ups in the set default order
  1. Repeat step 1 until you achieve the desired effect

return to top Modifying Markup Properties

Available options will vary depending on the markup you are working with. These instructions use the example of working with a Sticky Note.

  1. Right click the markup icon you wish to modify » select Properties...
    The Properties dialog box for the markup you selected appears.

  1. To change the color of the markup,
    1. Select the Appearance tab
    2. Click COLORColor button
    3. From the Color palette, select a color
    4. To adjust the opacity of the markup, move the Opacity slider bar
    5. OPTIONAL: From the Icon scroll-list, select the desired icon

  2. To change general information about the markup,
    1. Select the General tab
    2. In the Author text box, type the name of the editor
    3. In the Subject text box, type the subject of the markup
      EXAMPLE: "Conclusion"

  3. Click OK

  1. From the Select & Zoom toolbar, select the Hand ToolHand Tool button

  2. Move the cursor over the graphic until it turns into a pointer

  3. Click and drag to the desired location

return to top Resizing Markups

  1. From the Select & Zoom toolbar, select the Hand ToolHand Tool button

  2. Select the markup you would like to resize

  3. Position the mouse over a selection handle until a double-headed arrow appears
    NOTE: Some markups cannot be resized(e.g., Sticky Note bubble). If selection handles do not appear, the markup cannot be resized.

  4. Click and drag to the desired size

Methods for deleting markups depend on the kind of markup you intend to delete.

  1. From the Select & Zoom toolbar, select the Hand ToolHand Tool button

  2. Right-click the markup you wish to delete » select Delete
    The markup is deleted.
