Customer Service Representative

Position Summary:

This position is responsible for providing customer service at the Printing Service walk-up window and processing of all customer requests as needed. This position also provides the technical support required to operate the computers, black & white digital copiers, color copier, cash registers and bindery equipment, as well as the professional skills necessary to provide excellent customer service. This includes resolving customer service issues in a professional manner.

50% A. Maintain Quality Control

A1. Possess a working knowledge of correct grammar, punctuation and spelling usage as well as accepted business formats.
A2. Proofread documents to provide high quality products that meet with customer expectations.
A3. Maintain minimum standards of word processing and desktop publishing as established by Printing Services.
A4. Maintain time frames for work completion as established Printing Services
A5. Consult with customers when questions/concerns occur in the progress and completion of their order.
A6. Charge appropriately for services rendered by completing each job order form properly and completely.

45% B. Execute Services, Policies and Procedures

B1. Possess a working knowledge of services, current prices, policies and procedures of Printing Services.
B2. Provide customer service at the window and direct customers’ requests for departmental orders, design services, offset printing and/or bindery finishing work to the appropriate area (persons).
B3. Maintain time frames for services and communicate that information effectively to the customers.
B4. Check completed customer requests for accuracy and verify that all functions have been completed and accurately priced. Ask questions of customer(s) if you are not sure about their order.
B5. Call out completed orders & record appropriately on order form
B6. Distribute completed services to patrons; collect payment & enter transaction on cash register(s).
B7. Perform services for customers to include: black & white and color digital copying, laminating, binding, padding, cutting, folding collating/stapling, typing, print-outs, shrink-wrapping etc.
B8. Make minor adjustments and repairs/troubleshooting techniques to equipment.

5% C. Miscellaneous Duties as Assigned

C1. Keep work areas neat & clean/pick up after job completion(s).
