A GUIDE TO REGISTRATION

NOTE: The "Step by Step Guide to Registration," designed for students, answers most of the commonly asked questions.

Distribution of registration materials

Students are sent their degree audits and their registration appointment times via email approximately three weeks prior to the start of registration.

Class Schedules and Course searching

  • Class Schedules are available on-line the third week in September for the spring semester and the third week of February for the fall semester. This schedule is updated nightly. The Class schedule contains important information about prerequisites, registration restrictions, preassignments, etc.
  • You can print out all or part of the Class Schedule. However, the printed version is not updated.
  • The index to the class schedule contains important information, including withdrawal dates, the final exam schedule and fee payment information.
  • The Course searching tool allows staff and students to search courses in almost any way you can think of. It also tells you if the course is open and how many seats are available. It is important, however, to "drill down" by clicking on the course number to see prerequisites, enrollment restrictions, etc.

Distribution of PACs.

At the same time students receive their information, faculty are provided with a list of their advisees, their registration appointment times and their PACs (see below). Students should be encouraged to make an appointment with their advisers well ahead of their registration appointment time.

  • TIP: Writing to your advisees or sending Email with your office hours, and/or putting sign-up sheets outside your office can help to get students in ahead of time.

When a student can register

Registration appointments are determined by number of credits. A student's registration time is indicated on the email that is sent with their degree audit. Both the advisers and the advisee can also view it on the Blugold System and the Advising system on the web.

A student is allowed access to the system 15 minutes before the appointment time listed.

What if the student can't register at the appointed time?

  1. The student can register any time after the registration time.
  2. The student can leave the course selection form with Registration and be registered in absentia (alternates are, of course, extremely important).

It is not a good idea to have someone else register for the student. With the new registration system, the student would have to give another person their UW-Eau Claire computer password.

Where to go to register.

Students can access the registration system from any computer with internet access. Go to the UW-Eau Claire homepage and Current students" and then "MyBlugold." Choose "Register for classes or modify registration."

Printing schedules: After a student registers, he/she should request that a schedule/bill be sent via email.

Fee Payment

Students must make a $100 down payment before they register. This deposit goes toward their tuition and is refundable if the student cancels before the beginning of classes. Students with extreme financial hardship may request a one time deferment from the Financial Aid Office provided an application for financial aid has been received by that Office.

How to pay the $100: The student can

Bills are emailed to a student in August and September for fall semester and December and January for spring semester

Registration Holds

There are two common reasons for registration holds:

  1. Financial: A student has past bills and/or fines.
  2. Admissions hold: New freshmen and transfer students cannot register until we have received their final transcripts

NOTE: A student can determine whether he/she has a hold by checking "MyBlugold." The adviser also has this information on the advising system.

PACS

PACs or Personal Advising Codes are used to indicate that a student has seen an adviser. Every student who will have completed less than 60 credits by the end of the semester or who is in academic difficulty, no matter how many credits they have, must receive a PAC from an adviser before registering. These are distributed to each faculty member.

What to do if you do not have a PAC for a student? (recently declared students, for example): PACs are available on the Advising System. In addition, all departmental program associates and department chairs have access to all PACs.

What not to do: Please do not send the student to the Registrar's Office, to Academic Advising or back to the old adviser for PAC's.

Pre-assignments, pre-enrollments, special permissions, etc.

Tip # 1: Remind students about courses that require pre-assignments or pre-enrollments. These often need to be taken care of long before the student registers. Common courses include: Spanish 102, 201, 202; French 102, 201, 202; English 112.

Tip # 2: When you give students special permission to get into your course, please make certain that it is entered it on the computer.

Prerequisite checks

The Registration system checks for prerequisites. Students who do not have the published prerequisites will not be allowed to register for the course.

  • The computer system considers "courses in progress" as meeting prerequisites. Departments are sent a list of students who have not successfully completed prerequisite courses after grades are posted.
  • Students who do not have placements tests on file will not be allowed to register for the sequential math courses or for any foreign language courses, even the first one.
  • The computer system will NOT keep freshmen out of upper division courses unless the course has a specific classification restriction (i.e., junior status required).

Advising Resources

The Office of Academic Advising produces a number of resources to help students and advisers prepare for registration: These are all available on the Advising website:

  • Upper and lower division General Education lists are produced each semester and distributed with the "Adviser Update."
  • A list of Foreign Culture and Cultural Diversity courses offered is also produced and available on the Advising web-site.
  • ""Steps to a Successful Registration" outlines steps students should take for a smoother registration.
