Welcome to an LTS video tutorial on how to upload a new document in CommonSpot. There are two options you may use to upload a new document into Commonspot. We will go over both methods. Before you begin make sure all documents you wish to upload are placed, in your CommonSpot Source Files space as recommended in the CommonSpot Basics workshop. To begin both methods log into CommonSpot and use the pencil icon located at the top right-hand corner of the screen to enter the CommonSpot interface. Option 1 For the first option, select the “New” tab on the CommonSpot Dashboard. And click “Uploaded Document”. A new window will pop up for you to select the subsite where you’d like to upload your new document. After you’ve made your selection, click ÒNextÓ. Another window will pop up. Select ÒBrowseÓ and locate the file in your CommonSpot source files. After you have selected the document, give it a title, description and keywords, once you are finished click next. Be sure to change the category to ÒOther DocumentsÓ Once you have finished select ÒNextÓ. Adjust the value of the subsite navigation order if necessary. Press ÒSaveÓ. It may not appear as though anything has happened, but clicking next in the previous dialogue box completes the upload. The file is now uploaded into CommonSpot. Option 2 The second option for uploading a document may be used when you are working with a formatted text box and creating a link to the document. To begin, make sure you are on ÒWork on this Page (All Changes)Ó under the View tab, to make edits to the text box. Open the text box editor by clicking on the small gray cog within the text box. Select ÒTextÓ. If needed, type the text for the link. If you already have the text, highlight it. Next, select the link icon located in the toolbar above the text. In the next window select ÒNew Uploaded FileÓ located in the Link Action Type dropdown box. Click ÒNextÓ. In the Upload New Document window, browse to locate the document you wish to upload. Make sure to add a title, description, and be sure to change the category to other documents. Once you have filled in all the appropriate areas, select ÒNextÓ. Adjust the Subsite Navigation order, if needed. Click ÒSaveÓ when you are finished. This will bring you back to the text editor. As you can see the text now appears as a link to the uploaded document. Press ÒSaveÓ again to exit out of the text box editor. You may also use this option to link previously uploaded documents. Again open the text box editor, and highlight the appropriate text. Click on the link icon. This time, select ÒUploaded DocumentÓ instead of ÒNew Uploaded FileÓ. Click ÒChooseÓ to locate where you previously saved the uploaded document. Click ÒSearchÓ to show all the options in that subsite. Highlight the document you would like to upload and press ÒUse Highlighted PageÓ Once you have completed this, click ÒSaveÓ. The text will now be linked. Press save again to exit out of the text box editor. When you have completed your linking, test and make sure your links work. On a final note, don’t forget to submit the page to publish all edits.
