Welcome to an LTS video tutorial on how to upload a new version of a previously uploaded document in CommonSpot. If you have an uploaded document in CommonSpot that has been updated externally, instead of uploading a brand new file you can upload a new version of that document. This will replace the file and avoids cluttering your site with outdated document versions. To begin, log into CommonSpot and use the pencil icon located at the top right-hand corner of the screen to enter the CommonSpot interface. There are two methods to uploading a new version, one for if you are the owner of the previously uploaded document, and the second for if you are not the owner. You are the owner of the document if you were the one that originally uploaded it. We will go over both methods here. If you ARE the owner: From the CommonSpot dashboard, select ÒMy ContentÓ and then ÒMy Uploaded DocumentsÓ A window will pop up that will give you criteria in which you may narrow down your search for the previously uploaded document. Once you have finished entering the search criteria, press filter. Locate the document on the list Click on the ÒMetadata & SecurityÓ icon located on the right side of the screen. Select ÒUpload New VersionÓ Browse to locate the new version of the uploaded document. When you are finished click ÒSaveÓ Press close to exit out of the ÒMy uploaded DocumentsÓ window. If you are NOT the owner: From the CommonSpot dashboard, select ÒReportsÓ then ÒReport of Pages, Templates, Uploaded Docs & Registered URLsÓ A window will pop up that will give you criteria in which you may narrow down your search for the previously uploaded document. Once you have finished entering the search criteria, press filter. Click on the ÒMeta & SecurityÓ icon located on the right side of the screen. Select ÒUpload New VersionÓ Browse to locate the new version of the uploaded document. When you are finished click ÒSaveÓ Press close to exit out of the ÒReports of Pages, Templates, Uploaded Docs and Registered URLsÓ page Note: In both methods, make sure the filename of the new version has not changed since it was uploaded originally. Finally test your link to make sure the new version is uploaded.
