This means that once you have uploaded the document to CommonSpot you will no longer be able to make edits such as renaming it, editing its content, or making any changes to the document itself. Instead, to make any changes such as these, you will new to upload a new version of the document. Please watch our video tutorial on how to upload a new version if you are not familiar with this action. \ \ We have determined a few helpful tips to managing documents that will help you keep things organized and ensure that your link works.\ \ Keep all your documents in a local source repository. This folder should be available to all who are maintaining the site. In most cases, your departmental \'93s\'94 drive is probably the best place, under a folder named \i CommonSpotUploads, \i0 or something similar. \ \ 2. Make sure you comply the rules on how to name the file. \ This includes:\ No spaces or special characters\ No periods\ Know when to add a date to a document or when to keep it timeless.\ For example: if there is a document that you will be uploading frequently and want the most current version of the document linked, don't add a date to the file name. Instead, keep the date short, meaningful and timeless. For example, \i currentorgchart.doc \i0 \ For documents such as newsletters and other dated material that doesn't change, it makes sense for this file names to have date in them. For example, \i fallnews2009.doc \i0 \ \ 3. Be sure to always use the proper techniques for uploading a new document, and uploading a new version of a previously uploaded document.
