Laptop and Camera Checkout

Equipment Checkout Counter: 836-5383

McIntyre Library provides state of the art laptops for students to check out free of charge, as well as digital still and video cameras. You can visit the Equipment Checkout Counter, adjacent to the library's Circulation Desk to pick up your equipment. Reservations are accepted over the web and this document provides instructions for making a web reservation, canceling a reservation, and general equipment guidelines.

The Student Technology Fee funded the development of the laptop and camera pool. The laptops and cameras in this pool can be checked out by students for free. Both Windows and Macintosh systems are available.

Making a Reservation

  1. Access the laptop reservation page at: http://laptop.UW-Eau Claire.edu
    You will be prompted to enter your username and password.
  2. In the User name text box, type your UW-Eau Claire username
  3. In the Password text box, type your UW-Eau Claire password
  4. Click OK
    The Reservation System page appears.
  5. On the left side of the screen, click MAKE NEW RESERVATION
  6. From the Item pull-down menu, select whether you want a Windows Laptop, Mac Laptop, Digital Camera, Digital Video Camera or Study Room type. The Checkout Date area appears.
  7. In the Checkout Date text box, type the date you want to pick up your item in the mm/dd/yyyy format
    EXAMPLE: 06/14/2004
    NOTE: Reservations may be made only for a future date and no more than 30 days in advance.
  8. Click NEXT
    The Checkout Time area appears.
  9. From the Hour pull-down list, select the desired hour
  10. From the Minutes pull-down list, select the desired minutes
  11. Click NEXT
    The Checkout Period area appears.
  12. From the Checkout Period pull-down list, select 2 hour, 24 Hour, 48 Hour, or Weekend
    NOTES:
    The Weekend option appears only if you checkout a laptop or camera on a Friday. It will then be due on a Monday.
  13. The Agreement page appears. Read the agreement and if any special configuration or equipment is needed, type them in the appropriate scroll box
  14. To reserve the item, click I AGREE!
    The Confirmation page appears.
  15. Print the Checkout Agreement page and bring it to the laptop desk at the time of your checkout

Canceling a Reservation

  1. Open http://laptop.UW-Eau Claire.edu
    You will be prompted to enter your username and password.
  2. In the User name text box, type your UW-Eau Claire username
  3. In the Password text box, type your UW-Eau Claire password
  4. Click OK
    The Reservation System page appears.
  5. On the left side of the page, click CANCEL RESERVATION
  6. In the Reservation ID text box, type your reservation ID number and press [Enter]
  7. If you don't know your reservation ID number, click LIST MY RESERVATIONS
    All current reservations appear.
  8. Click CANCEL RESERVATION
    The Reservation Cancelled page appears for confirmation.

Laptop Checkout Guidelines

  1. Students currently enrolled at the University of Wisconsin - Eau Claire may check out laptop computers while classes are in session. A student may check out only one laptop at a time. 
  2. When checking out a laptop, the student must present their Blugold Card. The student must sign a form assuming complete responsibility for any damage to and/or loss of the equipment or software configurations until evaluated by Circulation Desk staff.
    NOTE: Costs for damage or loss could average $1,000 or more. 
  3. Students MUST return the laptop by the time specified. A late fine will be charged at the rate of $10.00 for each hour or portion of an hour thereafter accumulating to a daily maximum fine of $100.00. After 14 days the laptop will be declared lost and full replacement cost will be due. Full replacement cost will be calculated at the cost of the laptop & accessories of the same brand, model, and configuration when the laptop was declared lost.
  4. General Access Lab policies apply to the use of laptop computers including the policy stating no software installs allowed. 
  5. Laptop computers may be checked out and returned to the Laptop Checkout Counter during normal hours (see above) or as posted.
  6. Depending on availability, laptops may be checked out for 24 hours, 48 hours or for the weekend. 
  7. A reserved computer must be picked up by the student who made the reservation. Reservations are limited to one per week and may be made only 30 days in advance. Reservations are also limited to every other weekend. Reservations may be cancelled online.
  8. Because we cannot guarantee that laptops will be returned on time, we cannot guarantee availability of a reserved laptop. Reserved computers will be held for 15 minutes past the reservation time. After 15 minutes the computer will be released on a first-come first-served basis. The fine for not picking up a reserved laptop on time is $5.00. 
  9. Any student returning a laptop more than two hours late more than two times will be barred from checking out equipment until the next semester.

Digital Camera Checkout Guidelines

  1. Students currently enrolled at UW-Eau Claire may check out digital cameras. A student may check out only one camera at a time.
  2. When checking out a camera, the student must present their Blugold Card, and then sign a form assuming complete responsibility for any damage to and/or loss of the equipment until evaluated by the Circulation Desk staff. Note: Costs for damage or loss could average $1,000 or more.
  3. Students who want to record on to tape need to bring their own Digital videocassette (DVM60)
  4. Digital cameras may be checked out and returned to McIntyre Library Equipment Checkout Counter during normal hours (see above) or as posted.
  5. Depending on availability, cameras may be checked out for 24 hours, 48 hours or for the weekend.
  6. Because we cannot guarantee that cameras will be returned on time, we cannot guarantee availability of a camera.
  7. Any student returning a laptop more than two hours late more than two times will be barred from checking out equipment until the next semester.
  8. Students MUST return the digital camera by the time specified. A late fine will be charged at the rate of $10.00 for each hour or portion of an hour thereafter accumulating to a daily maximum fine of $100.00. After 14 days the camera will be declared lost and full replacement cost will be due. Full replacement cost will be calculated at the cost of a camera of the same brand, model, and configuration when the camera was declared lost.
  9. Fines must be paid within 20 days and should be paid at the McIntyre Library Equipment Checkout Counter. All digital camera privileges are revoked if fines are unpaid or in dispute. A student wishing to appeal a violation of these policies should make an appointment with BebeAnna Buck, (buckbb 836-3857) or John McCrackin, (mccracjm 836-3872) to discuss the appeal process.
  10. If your account balance is $25.00 or greater and you fail to make a payment, your account may be referred to the UW-Eau Claire Collections Office. At this time, a hold will be placed on transcripts and registration. If the account is referred to small claims court or a collection agency, you will be responsible for attorney, court and collections costs associated with this referral.
