There are many reasons why it may be necessary to manually archive your items. Manual archiving allows you to archive before AutoArchiving is due or to archive if AutoArchiving is turned off. Manual archiving also allows you to archive your files if you keep Outlook open, since Outlook only runs AutoArchive when you first launch the program. In addition, manual archiving lets you manually archive Contact items, which cannot be archived using AutoArchiving.
The basic process to manually archive files is quite simple. You can manually archive all or any of your Outlook folders.
From the File menu, select Archive...
The Archive dialog box appears.

Select Archive this folder and all subfolders
From the scroll box, select the desired folder to be archived
In the Archive items older than text box, type the appropriate date
OR
To select the date from a list, click![]()
In the Archive file text box, type the desired location
OR
To select the location, click BROWSE...
Recommended: H:\Config\Outlook\archive.pst
Click OK
The specified folder is now manually archived.
Other manual archiving options include using AutoArchive settings or archiving excluded items.
Using AutoArchive settings is an efficient way to archive all your items. This is especially helpful for archiving multiple items into different folders. AutoArchive does not allow you to archive Contact items, so you must archive the Contact folder individually. To modify your AutoArchive settings, refer to Customizing AutoArchive Settings.
From the File menu, select Archive...
The Archive dialog box appears.
Select Archive all folders according to their AutoArchive settings
All other options become unavailable.
Click OK
At times, you may want to archive items that are usually excluded from AutoArchive. Manual archiving allows you to easily include these excluded items. For more information on excluded items, refer to Enabling and Disabling AutoArchiving on Specific Items.
From the File menu, select Archive...
The Archive dialog box appears.
Select Archive this folder and all subfolders
From the scroll box, select the desired folder to be archived
In the Archive items older than text box, type the appropriate date
OR
To select the date from a list, click![]()
Select Include items with "Do not AutoArchive" checked
In the Archive file text box, type the desired location
OR
To select the location, click BROWSE...
Recommended: H:\Config\Outlook\archive.pst
Click OK
The specified folder, including any excluded items, is now manually archived.
