Working with Signatures

A signature is a block of text that you can use to identify yourself in email messages. The signature often includes a name, title, and contact information. They may also include images and links. This document explains several things you can do with signatures.

NOTE: You can save only one signature at a time.

Outlook Webmail's signature feature is a simple way to add personality to your messages. The following steps will show you how to create a signature:

  1. From the Outlook task bar, click OPTIONSOptions icon
    The Message Options screen appears.

  2. Scroll to the E-mail Signature group

  3. In the E-mail Signature text box, type your signature

  4. To format your signature, use the toolbar above the E-mail Signature text box

  5. OPTIONAL: To customize the E-mail Signature toolbar
    1. From the E-mail Signature toolbar, click CUSTOMIZECustomize button
    2. Select or deselect the options you want to appear on the toolbar
      NOTE: Hovering the cursor over an option will display its name.

  6. To add this signature to each message, select Automatically include my signature on outgoing messages

  7. Click SAVESave button
    The signature is saved.

return to topAdding a Signature to a Specific Message

You may wish to add a signature only to certain messages.

  1. Create a signature
    NOTES:
    For more information, refer to Creating a signature.
    Be sure that Automatically include my signature on outgoing messages is deselected.

  2. Click MAIL Mail button
    The Mail screen appears.

  3. Create a new message
    NOTE: For more information, refer to Basic Email Activities: Sending Email Messages.
    OR
    To add a signature to a message you will reply to or forward
    1. Access the desired message
    2. Click REPLY or FORWARD

  4. Place the insertion point where you want the signature to appear

  5. Click INSERT SIGNATUREInsert Signature button
    The signature is inserted.

As time passes, or if there is a mistake, you may wish to change your signature.

  1. From the Outlook task bar, click OPTIONSOptions icon
    The Message Options screen appears.

  2. Scroll to the E-mail Signature group

  3. In the E-mail Signature text box, edit your signature

  4. To format your signature, use the toolbar above the E-mail Signature text box

  5. OPTIONAL: To customize the E-mail Signature toolbar
    1. From the E-mail Signature toolbar, click CUSTOMIZECustomize button
    2. Select or deselect the options you want to appear on the toolbar
      NOTE: Hovering the cursor over an option will display its name.

  6. To add this signature to each message, select Automatically include my signature on outgoing messages

  7. When finished editing, click SAVESave button
    The edited signature is saved.

return to topDeleting Your Signature

If you decide that you no longer want a saved signature, you can delete it.

  1. From the Outlook task bar, click OPTIONSOptions icon
    The Message Options screen appears.

  2. Scroll to the E-mail Signature group

  3. In the E-mail Signature text box, select the entire signature

  4. Press [Delete]
    The signature is deleted.

  5. Click SAVESave button
    The deletion is saved.
