Deleting Items

In order to keep your Webmail folders uncluttered, you will need to delete unwanted items. Most deleted items will be automatically moved to the Deleted Items folder, where you can continue to access them until they are removed from the folder. Emptying the Deleted Items folder is the only way to permanently remove an item from Outlook. After removing an item from the Deleted Items folder, there is a short window of time during which it can be recovered.

When you no longer need to keep a message, you can remove it with a simple click of a button. If by accident you should happen to delete a message you want to keep, it is still retrievable.

Deleting Messages: Button Option

  1. From the Navigation pane, click MAILMail icon
    The Mail view appears.
    NOTES:
    You can delete messages from any of the folders in your Folders list (e.g., Sent Items, Drafts). To delete messages from the other folders, click the desired folder.

  2. Select the message(s) to be deleted
    NOTE: Holding down [Ctrl] when you click allows you to select more than one message.

  3. Click DELETEDelete icon
    The message(s) is sent to the Deleted Items folder.

  4. OPTIONAL: To permanently delete the message(s), Empty the Deleted Items Folder

Deleting Messages: Drag and Drop Option

  1. From the Navigation pane, click MAILMail icon
    The Mail view appears.
    NOTES:
    You can delete messages from any of the folders in your Folders list (e.g., Sent Items, Drafts). To delete messages from the other folders, click the desired folder.

  2. Select the message(s) to be deleted

  3. Drag and drop the message(s) into the Deleted Items folderDeleted Items folder
    The message is sent to the Deleted Items folder.

  4. OPTIONAL: To permanently delete the message(s), Empty the Deleted Items Folder

Once you have deleted a message from a folder, the Deleted Items folder must be emptied to permanently clear the message from Webmail. You can also delete selected items from the Deleted Items folder rather than deleting all items at once.

NOTE: Once a message is removed from the Deleted Items folder, it is retrievable only for a short period of time.

Deleting Selected Items

  1. From the Folders list, click DELETED ITEMSDeleted Items folder
    The deleted items appear in the Folder Contents window.

  2. Select the message(s) you would like to delete
    NOTES:
    To select multiple non-contiguous items, press and hold [Ctrl] while clicking each desired item
    To select multiple contiguous items, press and hold [Shift] while clicking the first and last item in the desired range

  3. Click DELETEDelete icon
    A confirmation dialog box appears.

  4. To permanently delete the item(s), click OK
    The selected item(s) are permanently deleted.

Deleting All Items

  1. From the Folders list, right click DELETED ITEMS » select Empty Deleted Items
    A confirmation dialog box appears.

  2. Click OK
    All items in the Deleted Items folder are permanently deleted.

If you have accidentally deleted a message that you want to keep, you can retrieve it; however, messages that have been removed from the Deleted Items folder are retrievable only for a short period of time.

Retrieving Messages: Move to Option

  1. From the Folders list, click DELETED ITEMSDeleted Items folder
    The deleted items appear in the Folder Contents window.

  2. Select the message(s) you would like to retrieve

  3. From the Toolbar, click MOVE TO FOLDER » select Move to Folder... or Copy to Folder...
    The Move/Copy to Folder dialog box appears.
    NOTE: Move to Folder will move the selected message(s) to the desired folder; Copy to Folder will leave one copy in the Deleted Items folder and also move a copy to the desired folder.

  4. Select the desired folder

  5. Click MOVEMove button
    The selected message(s) appears in the desired folder.

Retrieving Messages: Drag and Drop Option

  1. From the Folders list, click DELETED ITEMSDeleted Items folder
    The deleted items appear in the Folder Contents window.

  2. From the Folder Contents window, select the message that you would like to move to another folder

  3. Click and drag the message to the Folders list

  4. When the message is positioned over the correct folder, release the mouse
    The message is moved to the selected folder.

return to topRecovering Permanently Deleted Items

Outlook gives you the ability to recover items that you have recently permanently deleted from the Deleted Items folder. This should be done as soon as possible to ensure that they are still recoverable. Recovered items are placed back into the Deleted Items folder.

  1. From the Common Toolbar, click OPTIONSOptions icon
    The Options view appears.

  2. From the Options list, select Deleted Items

  3. From the Recover Deleted Items pane, select the message(s) that you would like to recover
    NOTE: To select multiple items, press and hold [Ctrl] while clicking each desired item.

  4. Click RECOVER TO DELETED ITEMS FOLDER
    The item(s) is now in your Deleted Items folder and will not be permanently deleted.
