Using Print Preview

Before printing a chart in Excel XP/X, you may want to preview how your work will look. This document will cover the following:

Windows:

  1. In Normal view, select the sheet you wish to preview

  2. From the File menu, select Print Preview
    OR
    On the Standard toolbar, click PRINT PREVIEW print preview button
    The window changes to Print Preview view.
    NOTE: If the image can be magnified, the cursor will become a magnifying glass.

  3. OPTIONAL: To see your sheet enlarged, while the cursor is a magnifying glass, click on the sheet
    HINT: To restore the original size at which your sheet was viewed, click ZOOM or click on the sheet.

  4. To print the sheet, click PRINT...
    To return to Normal view, click CLOSE

Macintosh:

  1. In Normal view, select the sheet you wish to preview

  2. From the File menu, select Print Preview
    OR
    A new window opens to show preview and the Print Preview toolbar appears.
    NOTE: If the image can be magnified, the cursor will become a magnifying glass.

  3. OPTIONAL: To see your sheet enlarged, while the cursor is a magnifying glass, click on the sheet
    HINT: To restore the original size at which your sheet was viewed, click ZOOM or click on the sheet.

  4. To print the sheet, on the Print Preview toolbar, click PRINTPrint button
    To return to normal view, click CLOSE

Function

Windows: Macintosh:  
NEXT Next button Previews the next page of your sheet
NOTE: If you are viewing the last page of your sheet, the NEXT button will preview the first page.
PREVIOUS Previous button Previews the previous page of your sheet
NOTE: If you are viewing the first page of your sheet, the PREVIOUS button will preview the last page.
ZOOM Zoom button Alters the size at which your sheet is previewed
This toggles between the two possible sizes.
PRINT... Print button Opens the Print dialog box
NOTES:
Clicking the PRINT... button while in Print Preview will bring you back to Normal view. To learn more about printing, see Excel Printing Basics.
SETUP... Setup button Opens the Page Setup dialog box

MARGINS Margin button Displays or hides a sheet's margins
When the margins are displayed, you may adjust them by dragging

PAGE BREAK PREVIEW Page Break Preview button Opens Page Break Preview

CLOSE Close button Returns to Normal view
