Charting Extras

Extra features offered by Excel can be very useful to you during different stages of your project.  Excel contains options which allow you to copy and paste charts, print charts and worksheets, and copy charts into Word.

If you are going to be creating multiple charts for the same presentation/report that contain similar data, you can reduce your effort by creating the first chart and then copying that chart. Each time you paste the chart, you will update the ranges and titles for the chart for the different data. This can help improve the consistency between various charts, along with saving you time!

  1. Select the chart to be copied

  2. From the Edit menu, select Copy
    OR
    On the Standard toolbar, click COPY Copy button or Copy button

  3. Place the cursor where you would like chart to be

  4. From the Edit menu, select Paste
    OR

    On the Standard toolbar, click PASTE Paste button or Paste button

When printing the chart and worksheet information, you will need to first arrange the elements appropriately on your worksheet (all the information will have to be on the same page). 

Printing Selected Data

  1. Select the range to be printed

  2. From the File menu, select Print...
    The Print dialog box appears.

  3. Under Print what, select Selection

  4. Windows: Click OK
    Macintosh: Click PRINT

Printing Active Worksheet(s)

This option will print entire the worksheet(s)

  1. From the File menu, select Print...
    The Print dialog box appears.

  2. Under Print what, select Active sheet(s)  

  3. Windows: Click OK
    Macintosh: Click PRINT

Printing Chart Only

  1. Click your chart to select it

  2. From the File menu, select Print...
    The Print dialog box appears.

  3. Windows: Click OK
    Macintosh: Click PRINT

Adding charts to Word is a feature available because of the integration between the programs in the Microsoft Office suite. When you copy the chart to Word, you can create a link so if the worksheet is updated, the Word chart will also be updated.

  1. Select the chart to be copied

  2. From the Edit menu, select Copy
    OR
    On the Standard toolbar, click COPY Copy button or Copy button

  3. Open Word

  4. Open the document to which you want the chart copied

  5. Click the insertion point where the chart should appear

  6. From the Word Edit menu, select Paste Special...
    The Paste Special dialog box appears.

  7. To add the chart as a link, select Paste Link
    To add the chart without a link, select Paste  
    NOTE: To paste without linking means data changes will not be updated on the chart that was copied when the original has been changed. To paste with linking will allow the pasted chart to be updated as changes to the original are made.

  8. Click OK
