Scheduling Events

By using Entourage's Calendar feature, you can create a schedule of new and/or recurring events. An event can include appointments, meetings, and any other item you would like placed at a specific time in your calendar. This document explains how to schedule events.

You will need to access your Calendar in order to schedule a new event.

Scheduling a New Event: Menu Option

  1. If necessary, open your calendar

  2. From the File menu, select New » Calendar Event
    OR
    Click NEWNew Event button

  3. In the Subject and Location text boxes, type the appropriate information

  4. To add the desired start and end time for your event, in the Start and End text boxes, use the nudge buttons to specify the appropriate time
    OR
    To select dates from the calendar,
    1. Click the CALENDAR paletteCalendar pallette with Date Options
    2. Select the appropriate dates

  5. OPTIONAL: To receive a reminder before your event begins,
    1. Select Reminder
    2. In the Reminder text box, type to specify the amount of time before the Event that you would like the reminder to appear
    3. From the Reminder drop-down menu, select the time increment you would like to use

  6. OPTIONAL: To adjust how the appointment appears to others, on the toolbar click OPTIONSOptions button» select Show Free/Busy Status As » select the desired option
    NOTE: Options include Free, Tentative, Busy, or Out of Office.

  7. If appropriate, in the description text box, add a description or notes about the appointment

  8. Click SAVESave button

  9. Close the Event dialog box

Scheduling a New Event: Calendar Option

  1. If necessary, open your calendar

  2. Adjust the view as needed
    HINT: For more information, refer to Selecting a Calendar View.

  3. Using the arrows or your mouse, navigate to the day you would like to add an appointment to

  4. Click in your calendar grid to select an event time
    HINT: To select more than one increment of time, drag over the time period
    These areas will now be highlighted.

  5. From the File menu, select New » Calendar Event
    OR
    Double click the selected time period
    An untitled Event dialog box appears with the Start and End fields already filled in with the appropriate date and time.

  6. In the Subject and Location text boxes, type the appropriate information

  7. OPTIONAL: To receive a reminder before your event begins,
    1. Select Reminder
    2. In the Reminder text box, type to specify the amount of time before the Event that you would like the reminder to appear
    3. From the Reminder drop-down menu, select the time increment you would like used

  8. OPTIONAL: To adjust how the appointment appears to others, on the toolbar, click OPTIONSOptions button» select Show Free/Busy Status As » select the desired option

  9. If appropriate, in the description area, add a description or notes about the appointment

  10. Click SAVESave button

  11. Close the Event dialog box

Scheduling a recurring event is much like scheduling a new event. (For more information about scheduling a new event, refer to Scheduling a New Event.)

  1. If necessary, open your calendar

  2. From the File menu, select New » Calendar Event
    OR
    Click NEWNew Event button
    An untitled Event dialog box appears.

  3. To add the desired start and end time for your event, in the Start and End text boxes, type the appropriate time or use the up and down arrows
    OR
    To select the dates from the calendar,
    1. Click the CALENDAR paletteCalendar pallette with Date Options
    2. Select the appropriate dates

  4. OPTIONAL: To receive a reminder before your event begins,
    1. Select Reminder
    2. In the Reminder text box, type to specify the amount of time before the Event that you would like the reminder to appear
    3. From the Reminder drop-down menu, select the time increment you would like to use

  5. OPTIONAL: To adjust how the appointment appears to others, on the toolbar click OPTIONSOptions button» select Show Free/Busy Status As » select the desired option
    NOTE: Options include Free, Tentative, Busy, or Out of Office.

  6. If appropriate, in the description text box, add a description or notes about the appointment

  7. From the Occurs pull-down list, select the desired frequency
    The dialog box refreshes.

  8. Click EDIT...
    The Recurring Event dialog box appears.

  9. In the Recurrence Pattern section, select the appropriate settings

  10. In the Start and End section, select the appropriate settings

  11. When finished, click OK

  12. Click SAVESave button

  13. Close the Event dialog box
