Reservations

Event Services schedules campus facilities for non-academic activities, and will help you plan and present all aspects of your event — including room reservations, technical support, facility setup and security. We will assist with permits, approvals, catering, parking or other services needed to make your event successful and in accord with the State of Wisconsin, UW System and University of Wisconsin-Eau Claire rules, regulations and policies.

Campus facilities may be used or rented by recognized student organizations, academic departments, administrative offices, faculty-staff members and students. Recognized University of Wisconsin-Eau Claire student organizations are given primary consideration whenever possible. No room rental fee is charged to recognized student organizations unless the event is revenue-generating, and there is no charge for most amenities.

Non-university clients may reserve and rent campus facilities through Event Services, which will assist with technical arrangements, dining service, housing, parking and security needs.

Reservations for meetings or smaller-scale events must be made at least 24 hours in advance. Any reservation that includes audio-visual support must be made at least 72 hours (three working days) in advance, since inventory is available on a first-come, first-served basis. Late requests have no guarantee of service. Major events and events sponsored by off-campus clients must be scheduled no fewer than 15 working days prior to the event date.

Event Services staff will assist in planning your event. Be prepared to provide all applicable information when you request a reservation:

  • Event title
  • Event date, start time and end time
  • Preliminary setup time, if needed
  • Desired room and setup
  • Estimated attendance
  • Contact person's name, phone number, e-mail address and billing address
  • Method of payment
  • Sponsoring organization or individual
  • Event technology needs
  • Catering needs
  • Additional event requirements
