The University of Wisconsin–Eau Claire seeks an experienced, innovative, and energetic professional to lead the Registrar's Office. The Registrar's Office provides services related to the creation and maintenance of academic records. The office oversees student registration, coordinates course rolls and grade submission, and maintains academic transcripts. The office also publishes the Undergraduate and Graduate catalogs, provides diplomas, administers enrollment verifications, and assigns classroom space.  Additionally, the Registrar's Office handles the administration of all veterans' benefits.   The Registrar leads a staff of 16 and administers the office budget. The Registrar participates actively as a campus leader in strategic planning and the implementation of administrative and academic policies in the university. UW-Eau Claire has recently converted to Oracle's Campus Solutions student information system for Student Records, and has begun the process of implementing Campus Solutions Academic Advising as well—a project for which the Registrar is responsible. 

The Registrar reports to the Provost and Vice Chancellor for Academic Affairs. Salary is commensurate with experience and includes generous UW System benefits package.

Responsibilities

The Registrar serves as the administrative head of the Registrar's Office, and is responsible for policies and procedures implemented by the Office.  The Registrar is responsible for organizing and coordinating the specific duties of the unit.  Principle functions and duties include the following:

  1. Administration of student records and registration activities.   
  2. Development and administration of a system of classroom assignment. 
  3. Provision of reports and data regarding student and curricular information. 
  4. Maintenance of official University course information. 
  5. Collection and publication of course schedule information. 
  6. Compilation and publication of University undergraduate and graduate catalogs. 
  7. Provision of information on academic progress to students and advisers. 
  8. Collection of transcript requests and preparation of transcripts 
  9. Response to internal and external requests for enrollment/degree verifications 
  10. Coordination of information for the Veterans' Administration and provision of assistance to student veterans 
  11. Performance of final checks for approval to graduate; preparation and mailing of diplomas. 
  12. Collection of grades and maintenance of official grade records. 

 

  • The Registrar advises in the formulation of the office budget.
  • The Registrar represents the office in University discussions and decision-making. 
  • The Registrar serves upon University committees and undertakes projects as assigned.  
  • The Registrar implements and utilizes technology to improve both the efficiency and effectiveness of those activities for which the Registrar's Office is responsible.
  • The Registrar should stay informed in the policies and practices of similar offices across higher education.  
  • The Registrar must stay current on laws affecting records and registration activities.
  • The Registrar should participate in professional activities at both state and national levels, as appropriate. 
  • The Registrar should support the professional development of staff working within the Registrar's Office.
  • The Registrar should have knowledge of, and insure compliance with, policies regulating employment, budgets, and any other aspects of the office's administration/operations.
       

Qualifications

A successful candidate will demonstrate the following qualifications:

  • Master's degree required.
  • Minimum of five years experience in higher education with evidence of progressive leadership responsibility in a registrar office. 
  • Thorough understanding of relevant technologies and how effective use of these technologies will better serve the university community, including significant experience with an integrated student database management system (PeopleSoft preferred).
  • Knowledge of all aspects of a registrar's office, including course registration, grading, scheduling, transcripts and records, catalog preparation.
  • Experience with veterans' benefits, and athletic certifications preferred.
  • Knowledge of and ability to interpret federal and state laws as they apply to student records (e.g., FERPA).
  • Demonstrated commitment to equity, diversity, and inclusiveness among faculty, staff, and students.
  • Strong oral and written communication skills.
  • Evidence of exceptional customer service commitment and professionalism.
